SCHEDULE: Monday-Thursday, 10:00am to 6:00pm, Fridays, 9:00am to 5:00pm
Occasional evening or weekend work required: Boot Camp, Convocation, Open House, Accepted Students Day, Speaker Series, Registration, and any other events where assistance is necessary.
REMOTE WORK: Possible rotating remote Fridays acter six months in the office.
HOURS/WEEK and MONTHS/YEAR: 35 hours/week and 48 weeks/year

GENERAL PURPOSE
Performs a variety of complex administrative duties that facilitate the day-to-day operations of the undergraduate program. Interprets, monitors, and analyzes information regarding operating policies and procedures. Resolves problems that impact the undergraduate business programs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Information Development and Communication: Prepare and maintain undergraduate program literature, including informational and promotional materials for the catalog, website, and display boards. May assist supervisor in the development of content and materials. Prepare correspondence for individuals and groups. Serve as a point of contact and communicate with staff from other offices, such as Admissions, Enrollment Management, Registrar, Bursar, Technology Learning Services, and Information Technology. Oversee the processing of forms required by the School and by other departments. Maintain and update undergraduate student records in systems such as Jenzabar, Slate, and Stellic. Run scheduled and ad hoc reports in Jenzabar, Slate, Stellic, Lion’s Den, and other systems and conduct follow-up tasks as directed. Manages the schedule for the school, including prioritizing requests and resolving scheduling conflicts. Maintain student files and confidentiality of sensitive information. Maintain records of program information, including correspondence with Molloy governance committees and NYSED. Communicate advisee information to academic advisors and students. Review, update with current University-wide processes, and collect syllabi each semester.
Application and Enrollment Support : Assist Undergraduate Business staff in enrollment and registration efforts. Investigate and resolve student issues. Contact prospective applicants (e.g., via phone, email, and text) to address questions about Undergraduate Business programs. Update information in Slate in a timely manner.
Daily Operations : Greet visitors to the office and direct them as necessary. Demonstrate specific knowledge and understanding of each undergraduate program, the School of Business mission and vision, and undergraduate program policies and procedures. Interpret, research, and answer inquiries based on student needs, undergraduate program goals and the requirements of the School, University, accrediting bodies, and regulators. As necessary, escalate inquiries to other Undergraduate Business staff and the Undergraduate Business Program Director. Oversee processes related to course syllabi development and assist faculty with book orders. Assist staff and administrators with the facilitation of events, such as Boot Camp, Corporate visits, Bloomberg Market Concepts training, MOS Certification, Shadow Days, Open House, Accepted Students, Convocation, Commencement, and guest speaker events. Assist with managing and maintaining office equipment and office supplies. Prepare rooms for meetings and events, including the setup of projectors and audio/video equipment. Respond to issues presented by undergraduate faculty, such as classroom technology, HVAC, Canvas, or Lion’s Den problems.
REQUIRED MINIMUM QUALIFICATIONS
Bachelor's degree
3 to 5 years of work related experience
Microsoft Office (Outlook, Word, PowerPoint, Excel)
