Position Summary: This part-time Admin Support Associate position will be housed in one of the Bryan School’s six academic departments, the Department of Information Systems and Supply Chain Management. Reporting to the department head, this position works closely with the department’s lead administrative staff. Work assignments may vary and are primarily customer-oriented and administrative in nature. Responsibilities include customer service, academic program support, clerical responsibilities, and business operations support. Activities may include other duties, as assigned by supervisor.
Minimum Qualifications: HIGH SCHOOL DIPLOMA OR EQUIVALENCY; OR DEMONSTRATED POSSESSION OF THE COMPETENCIES NECESSARY TO PERFORM THE WORK.
Preferred Qualifications: Prior work in office settings; Computer skills, including familiarity with Microsoft productivity tools (Outlook, Teams, Word, Excel, and OneDrive/SharePoint); Previous experience working in higher education is not required, but would be considered favorably

Contribute to in-person office coverage; Serve as the first point of contact for students, faculty, staff, and visitors; Answer incoming calls, respond to emails, and direct inquiries appropriately; Maintain a welcoming and professional office environment

Assist department or graduate program administrator(s) with clerical tasks; Support current and prospective students by providing program information, processing forms, and making referrals; Help maintain academic materials such as syllabi and program documentation

Prepare written documents such as memos, agendas, or minutes from meetings; Help with scheduling, reserving rooms, and coordinating event logistics; Maintain organized filing systems (digital and physical) for departmental records; Perform data entry or maintain spreadsheets; Copy, scan, and distribute materials as needed; Support other routine office activities, as assigned
Key Responsibility: Business Operations Support (15%)
Utilize a university-issued purchasing card (PCard) to process routine expenditures such as supplies, faculty travel, etc.; Draft reimbursement reports for university employees; Provide operational backup in response to staffing needs. This may include supporting the department’s lead admin, or on occasion, a temporary assignment in another Bryan School office.
