Admissions Operations Coordinator

The Admissions Operations Coordinator plays a crucial role in ensuring the smooth and efficient processing of student applications. This position is responsible for managing application documents, communicating with stakeholders, maintaining inventory, and providing excellent customer service. An essential job responsibility is student worker supervision, training, and management.

Key Responsibilities:

Application Processing

  • Manage document processing using Perceptive Content software.
  • Process and match application documents (transcripts, test scores, etc.).
  • Communicate with applicants, schools, and stakeholders to obtain required documents.
  • Audit applicant files for completion and accuracy.
  • Manage Slideroom portfolio submissions, including faculty access and updates.

Student Worker Management

  • Recruit, hire, train, and provide professional development for student workers.
  • Create and manage student worker schedules.
  • Develop and maintain training materials and documentation.
  • Monitor student worker performance and provide feedback.
  • Serve as a liaison between Operations and Student Ambassadors.

Inventory Management and Print Piece Mailings

  • Manage Canvas inventory system, re-order supplies and manage the physical inventory.
  • Coordinate publication inventory and movement between campuses.
  • Create and maintain print mail process flows, including letter templates and reports.
  • Organize and fulfill weekly print mail jobs.
  • Collaborate with Marketing to track print mail communications.

Other Duties

  • Support on-campus event check-in (may include weekends/evenings).
  • Provide exceptional customer service to prospective students and families.
  • Perform duplicate record auditing and resolution in TargetX/Salesforce.
  • Provide coverage for other operations staff as needed.

Requirements:

  • Bachelor's degree preferred.
  • Supervisory experience preferred.
  • Experience in admissions or higher education is a plus.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and as part of a team.
  • Proficiency in Google Suite and database systems.
  • Experience with Salesforce or similar software is a plus.

Working Arrangements:

Full-time (37.5 hours/week), on-campus position based at our main campus in Burlington, VT. Standard business hours Monday through Friday (8:30am-5:00pm) with occasional evening and weekend hours for orientation sessions, campus events, and student support activities. Position requires regular interaction with students, faculty, and staff across campus departments. Comfortable office environment with extensive computer use and ability to maintain confidentiality in student-centered work.

Compensation & Benefits:

Annual Salary: $44,000
