Bond University Is Hiring an Advisor and Data Analyst for Timetabling and Examinations

A back-of-house data role that decides whether thousands of students get a workable timetable

Bond University is advertising for an Advisor and Data Analyst in Timetabling and Examinations, a position that sits behind the scenes but shapes the daily experience of every enrolled student. The role is based at the university's Gold Coast campus and is open through Bond's jobs portal.

At first pass the title sounds administrative. Look closer and it is a data integrity job: someone has to maintain the records that determine which rooms fill on a Tuesday morning, which exams sit back-to-back, whether a scheduling change creates dozens of new conflicts, and whether a single error in one record quietly corrupts a thousand downstream reports. The work is repetitive only in the way air traffic control is repetitive: small errors compound quickly.

Bond runs a three-semester academic year rather than the standard two, with the first teaching period beginning in January, a second in May and a third in September. For the person in this role, that means peak timetabling work lands three times a year instead of twice. Each cycle brings a fresh round of enrolment data, room constraints, consultation, problem-solving and reporting.

Why a timetabling role is a data role

When a student cannot enrol because a lecture and a tutorial collide, the cause is rarely a shortage of physical space. More often it is a data problem: a course record with the wrong capacity, an enrolment projection that was never updated, two venue codes that point to the same room, or an accessibility requirement that was not attached to the room record. Universities regenerate these records across thousands of course offerings every semester, and each semester changes the pattern.

An Advisor and Data Analyst in this area does not simply produce charts. They interrogate the data behind the timetable, explain why enrolment forecasts are drifting, recommend which corrections to make before clashes reach students, and track whether those corrections actually reduced the number of timetable conflicts.

Room utilisation is one of the few places where a university can see its planning assumptions tested in real time. A course that consistently fills 45 of 50 spots looks efficient until one additional enrolment creates an overflow; a room coded as capacity 30 may actually hold 28 once accessibility requirements and equipment are counted.

In another university's scheduling office, a coordinator I'll call Renee once spent two days tracing an exam clash that affected 70 students. The cause was a single digit typed into the wrong room-capacity field. The fix took minutes. The search took days because the data dictionary had not been documented. That is the base rate for operational timetabling: the data is messy, and the role exists to catch the mess before it becomes a student's emergency.

What the role actually involves

Bond University's academic calendar confirms the January, May and September rhythm, and the workload follows it. The advertised position combines advisory work and analysis. Faculties consult the role on room requirements, exam windows, timetable changes and policy exceptions; the data side produces reports on seat fill, room utilisation, examination schedules and course demand patterns.

Reports in this kind of role typically answer questions that sound simple but are not: Which rooms are underused between 9am and 2pm? Which exam sessions repeatedly run over their scheduled time? Where are the clashes that students experience most often? Answering them means combining timetabling records, enrolment data and sometimes historical attendance information.

Some of the work is predictable: room bookings, capacity checks, student clashes and staff workload constraints. Some of it is judgement: an academic requests a three-hour lab at 8am on a Friday, and someone has to explain why that will not work under the current constraints. The role is as much diplomacy as analysis.

The skills that separate a strong application

Applicants who treat this as a spreadsheet-only job will underestimate the role. Strong spreadsheet skills matter, including pivot tables, lookups, data cleaning and cross-sheet validation. Familiarity with database queries and reporting tools such as Power BI or Excel-based dashboards will often be expected. The exact software stack varies by institution, so it is less useful to memorise a single vendor product and more useful to show how you have worked across different data sources.

Examinations add a compliance layer. Invigilation, special consideration, assessment timetables and roster allocation for invigilators have to align with academic policy and sometimes with external accreditation requirements. A candidate who can speak to policy-aware scheduling will stand out.

Communication is not a soft extra. The advisor frequently tells an academic, a head of school or a senior administrator that a requested change is not possible without moving several other classes. That conversation is easier when the analyst can show the data and offer an alternative, not merely say no.

What this means for your application

Selection panels in university administration see many applications that claim attention to detail. The stronger candidates show how they used data to fix a recurring problem. If you have built a roster that cut clashes, cleaned an enrolment dataset, produced a report that reduced manual checks, or automated a recurring reconciliation, say exactly what changed and over what period. Use numbers such as the size of the dataset, the number of users and the hours saved.

If you are coming from outside higher education, the transferable skills are clearer than you might think. Rostering in health, logistics scheduling, transport planning and exam administration all involve constraints, incomplete data, people who need clear answers and pressure to produce decisions before every deadline.

Be careful with generic education-sector phrases. Writing that you are passionate about student experience will not distinguish you without evidence. Instead, connect the student experience to a scheduling outcome such as fewer clashes, clearer exam venues, faster room confirmations and fewer escalations.

Bond's Working at Bond page gives a useful overview of employment conditions and staff benefits, and the official job advertisement is the authoritative source for the closing date.

How to apply

Start with the position description, not the portal. Download it, read the selection criteria twice, and map each criterion to a specific example from your recent work. If the criteria ask for experience with timetabling or examination systems, do not write that you are familiar with timetabling software. Describe the semester you managed, the number of courses, the system you used and the result.

Submit through Bond's jobs portal. Before you do, have someone else read the application for unexplained acronyms and vague phrases. University systems are full of acronyms, but the panel wants plain language.

One concrete next step: open the position description, circle the three selection criteria you can already evidence from the past two years, and draft a short example for each. If you cannot circle three, use the time before applying to build one small piece of evidence in your current role. Clean a dataset, automate a report, audit a room booking process or document a data dictionary.

Frequently Asked Questions

🗓What does the Advisor and Data Analyst, Timetabling and Examinations role involve?

The role combines analytical work with operational advice. The person maintains timetable and examination data, produces reports on room use and enrolment patterns, and advises academic and professional staff on scheduling constraints. It is a central university administration role based at Bond University on the Gold Coast.

📍Where is Bond University?

Bond University is a private, not-for-profit university in Robina on the Gold Coast, Queensland. The campus is known for small class sizes and a three-semester academic year.

🎓Do I need prior university experience?

University experience helps but is not always required. Candidates from rostering, logistics, transport planning, health administration and exam services can bring directly relevant skills. The strongest applications show how you have managed complex scheduling data and conflicting stakeholder requests.

📊What technical skills should I highlight?

Focus on Excel, data cleaning, reporting and database querying. Many comparable roles look for SQL, Power BI or similar dashboarding experience, plus confidence working with student information systems. You do not need to memorise every vendor platform, but you should show how you have learned new systems quickly.

📅What is Bond's three-semester calendar?

Bond University runs three semesters each year, typically starting in January, May and September. For timetabling staff that means peak workload cycles arrive three times a year rather than twice, and the data work needs to be tight before each teaching period begins. You can check the official dates on Bond University's academic calendar.

🏛Is the role based on campus?

The role is based at Bond University's Gold Coast campus. Some Australian universities offer hybrid arrangements, but timetabling and examination work often requires time in the office around peak scheduling periods. Check the official position description for any flexible work arrangements.

🖋How do I apply?

Apply through Bond University's jobs portal. Download the position description, address the selection criteria with concrete examples, and submit before the advertised closing date. The same opportunity is listed on AcademicJobs.com.

🧭What is the difference between timetabling and examinations in this role?

Timetabling covers class scheduling, room allocation, teaching space and clash resolution. Examinations covers assessment scheduling, invigilation, special consideration and venue allocation. The role spans both because both rely on the same student, course and room data.

📈What makes a strong data analyst application for this type of role?

Use specific results, not generic claims. Say how many courses or students your work affected, what changed after you cleaned or analysed the data, and how you communicated the finding. Panels respond to evidence of judgement under constraints.

⚖Does the job involve policy or compliance work?

Yes. Examination scheduling must align with university assessment policy, academic integrity requirements and sometimes external accreditation standards. Applicants who can show policy-aware scheduling will be competitive.

🔄What if I have no formal data analyst title?

The title matters less than the work. If you have built rosters, managed enrolment files, produced operational reports or run SQL queries, describe the tasks and the outcomes. The advert is written for people who can do the work, not only those with data analyst in a previous job title.

📌What is the next step before applying?

Read the full position description and circle three selection criteria you can evidence from the past two years. Draft one short example for each before you start the written application. That is the fastest way to a focused, competitive submission.
