Organizational Unit Overview:

Academic Library Services (ALS) is a branch of Academic Affairs and reports through the Provost/ Vice-Chancellor for Academic Affairs. ALS serves East Carolina University faculty, students, staff and visitors by offering library research and services to support the research, instruction and service goals of the University.

Job Duties:

The University History & Records department of Joyner Library is recruiting for a position to perform specialized duties in archives management. Duties include analyzing, arranging, describing, summarizing and coding the intellectual content of information resources in all formats. The position provides reference service, often involving complex questions, for campus administrative units and staffs the research desk approximately five hours per week and on a rotational basis supervises the search room on weekends. This position will work with collections, both paper and electronic, including planning and managing projects, providing access, and preservation. This position also extends the reach of Archives by curating exhibits showcasing collection materials. It also conducts outreach to the campus units about available Records Management services and training opportunities.

30% Collection Management: Accessions, appraises, arranges, and describes materials in any format transferred to archival custody. Creates accession records for incoming materials in the departments archival management system. Using Encoded Archival Description (EAD) and the departments archival management system, produces finding aids for the collections. Ensures proper storage, protection, and re-filing of records. Creates and edits complex data and records in databases and management systems, including ArchivesSpace for University Archives. Contributes to policy decisions relating to archival materials.

20% University Archives Outreach: Curate exhibits within Joyner Library to showcase University Archives materials. Exhibits may be in conjunction with campus events or anniversaries related to campus units, buildings, groups, etc. and may be curated in partnership with other campus units.

Coordinates blog posts and other outreach efforts with the Instruction and Outreach Librarian for Special Collections.

20% Client/Patron Service: Provides reference services to all university and public patrons. Acquires knowledge of university-related information sources other than the University Archives and directs clients to records best suited to their information needs. Serves on the Special Collections research desks including weekends, providing high-level research assistance to students, faculty members, and visiting scholars. The position also assists users with requesting materials. Must be able to interpret U.S. copyright law to researchers, who wish to publish research materials in the repository. Provides high-level consultation to students and other clients in use of University Archives, Rare Books and Manuscripts, and the North Carolina Collection.

15% Records Management Outreach: Assists with outreach to campus offices and departments about offered services and training opportunities.

10% Technical and Professional Development Responsibilities: Maintains proficient knowledge of concepts of fair use, intellectual property rights, copyright law, and state and federal public records law. Stays current on methods and practices relating to archives and electronic records and interprets and applies knowledge to standards, policies, and procedures in new or unique situations. Contributes content to other university history related projects.

5% Other duties as assigned. May include supervision of interns.

Minimum Education/Experience:

Bachelors degree and one year of experience in a library or in archives or records management; or High school diploma or equivalency and five years of experience in a library or in archives or records management; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

License or Certification Required by Statute or Regulation:

Preferred Experience, Skills, Training/Education:

General knowledge of archival best practices. Ability to apply FERPA, HIPAA and university policies correctly. Ability to analyze workflows and recommend improvements. Excellent oral and written communication skills. Ability to think analytically and receive and interpret oral and written information accurately; research skills; knowledge of Microsoft applications, content management systems, database applications, Encoded Archival Description (EAD), and specialized vocabularies and guidelines, including Describing Archives: A Content Standard (DACS). Knowledge of North Carolina history and research using primary sources.
