Position Summary: The Assistant Director for Internal Operations will be responsible for supporting UNCG Athletics with Human Resources (HR), Payroll, and administrative tasks. This position acts as the liaison between Athletics and the HR departments ensuring smooth onboarding, offboarding, and support throughout the employee lifecycle. This role also manages Payroll and supports the Senior Staff in administrative duties. This position will report directly to the Executive Associate Athletic Director for Internal Operations and be a part of the Internal Operations team within the Athletics Department to drive synergies between the department and campus HR and Payroll Offices.

Minimum Qualifications: Bachelor’s degree; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Preferred Qualifications: Master’s Degree in Human Resources, Business, Sports Management or Recreation Administration.

Key Responsibility: Human Resources Management

  • This position will assist the hiring process for new full-time and part-time employees including training hiring managers/supervisors on the hiring process, creating/updating job descriptions, processing position and funding requests, posting jobs, arranging travel/lodging for interviews, and ensuring all searches are completed in accordance with university policy.
  • Responsible for onboarding new hires (including full-time, part-time, student workers and volunteer positions) by arranging interim housing when needed, processing moving stipends with the Business Office, ordering phone name changes, submitting key requests, requesting computer permissions, and making sure equipment is present prior to start date.
  • Update and lead successful Employee Orientation Presentation for new hires.
  • Assist in ensuring all employees complete required training and documents (Title IX, Clery, Outside Income, etc.) in a timely manner as required by Federal, State, University or NCAA regulations.
  • Assist in the annual Employee Performance Review process.
  • Ensure job descriptions are reviewed periodically and updated, as needed.
  • Assist in identifying training opportunities to improve the performance of existing employees.
  • Maintain accurate department policies and procedures related to Human Resources. Inform Senior Staff of University or UNC System about changes in guidelines or policies. Ensure adherence to Federal, State, and University rules and regulations as it relates to Human Resources functions.
  • Manage all taxable fringe benefits including, but not limited to, moving expenses, car stipends, cell phone stipends, and zeroing out leave when applicable). Remains up to date on related UNCG policies and procedures. Submits all forms in a timely manner and follows up to ensure they are processed in a timely manner.

Key Responsibility: Payroll Management

  • Responsible for monthly, bi-weekly, and non-recurring payroll processes, including supplemental and settlement pay. Responsible for collecting and verifying timesheets and leave reports for employees. Prepares online certifications for approval and makes changes as necessary. Update pay distribution in Payroll system and/or prepare pay distribution forms for new hires and reallocations of funding.
  • Educate Athletics Supervisors on applicable payroll policies and procedures.
  • Process all employee lifecycle changes, including hiring, promotions, title changes, compensation changes, and terminations.
  • Work with Payroll Office staff to resolve payroll issues in a timely manner. When necessary, prepare paperwork to correct issues related to pay, position descriptions, funding sources, etc.
  • Maintain data integrity and run various scheduled and ad-hoc reports related to Payroll.
  • Assist with NCAA, Conference, and UNC System Salary reporting.
  • Act as delegate for Athletics supervisors, initiating Payroll-related tasks on their behalf.
  • Answer emails/questions regarding hiring, payments, and benefits and/or direct Athletic staff to appropriate office on campus for expert guidance and support.

  • Manages employee information in UNCG databases including Athletics website directory, staff cell phone list, birthday calendar, etc.
  • Assist with the purchasing/ordering and processing of all departmental administrative needs
  • Administrative support for Athletics Department Senior Staff as needed.
  • Performs other duties as assigned by the Executive Associate AD for Internal Operations.
