Assistant Director of Donation Records
Job Summary/Basic Function:
The Assistant Director for Donation Records manages the processing of all donations to Dickinson College, researching and proactively developing processing procedures for gifts received via many existing and emerging modalities. This person manages the matching gifts program, pledge reminders program, and the recurring credit card donation program. They are responsible for maintaining permanent, accurate gift records and responding to college auditors as needed. The assistant director has direct personal contact with donors on a regular basis and is instrumental in retaining donors and increasing donations through matching gifts. They must also possess technical abilities sufficient to maintain web-based donation forms, build and maintain database queries, run data imports/exports, merge documents, and expertly manipulate spreadsheets. This person is expected to work outside of normal operating hours as needed to cover special events like Dickinson's Day of Giving and at calendar year-end when the college is closed.
Essential Functions:
- Manage the flow of charitable gift data into the database by processing all charitable gifts and private grants to the college, accurately recording them in the Raiser's Edge database and using critical thinking and problem-solving skills to independently address gift related data and donor record complexities that arise. Using integrated but separate systems, post all recorded gifts and gift adjustments to the general ledger and independently manage electronic recurring gifts. This position processes and reconciles cash deposits and securely handles personal identifiable information on a regular basis.
- Design and maintain the college's web-based donation forms, ensuring changing design elements, giving priorities and appeals are integrated and up to date. Build and execute database queries to routinely validate gift data integrity, troubleshoot data issues, or provide lists and information to staff and campus partners. Process online event registration fees imported from the AlumnIQ system and manage donation data imports from ancillary systems like GiveCampus and AlumnIQ.
- Act as a primary contact to provide audit support for Financial Operations. Regularly review and maintain an understanding of accounting principles, IRS guidelines, and advancement gift acceptance policies. Reconcile electronic transactions to ensure consistency between College Advancement's database and the general ledger. Process grant payments as they pass through College Advancement. Safeguard the integrity of gift entry operations by creating and maintaining gift and pledge documentation and gift adjustment logs.
- Collaborate with the offices of Donor Engagement and Dickinson Fund administrators to create, produce and mail donation specific communications like gift receipts and donor directed gift notices. Manage the pledge reminder program and produce calendar year-end giving summaries. Provide excellent customer service to donors, researching information as needed to troubleshoot questions.
- Manage the matching gifts program, verifying match-eligible gifts and communicating with matching gift companies. Ensure matching gift companies and donors are correctly identified in the database and that proactive outreach to matching gift eligible donors occurs. Research matching gift policies and requirements and suggests timely actions to be taken to maximize Dickinson's financial benefit. Collaborates with gift officers to ensure key donors continue to pursue annual matching gifts with their employers.
