Job Description Summary
Reporting to the Sr. Associate Director of Operations, the Assistant Director of Operations will be an integral part of the Admissions and Student Affairs organization, working with the Offices of Admissions & Financial Aid, Student Success, Academic Affairs, and Student Records. This role will support the Sr. Associate Director of Operations in maintaining and further developing GSE's two instances of the Slate CRM system, one of which serves as the school's application system and the other which tracks current students' progress throughout their enrollment. The Assistant Director of Operations will develop content for both prospective and current student communications, enhance workflow processes to assist current students in their academic journey, and build reports and dashboards to analyze data and ensure efficacy across all stages of enrollment management.
This role requires strong technical acumen and facility with various University systems, a high degree of service orientation, as well as strong collaborative and communication skills.
Key Responsibilities
- Support all aspects of operations for the Admissions and Student Affairs organization. This will involve assisting with the technical aspects of the Slate CRM systems and the multiple interactions and touchpoints that applicants and current students have with the Slate instances for the Office of Admissions and Financial Aid and the Office of Student Success. Develop communications, forms, and workflows for both the Slate application system and the student success module. Assist with event set-up within the CRMs and the associated processes that accompany these events. Build reports and dashboards to analyze prospective, applicant, and enrolled student data. Work with the Student Records Office and Office of Academic Affairs to further automate processes related to current students' academic benchmarks and milestones. Troubleshoot technical issues that arise within either of the Slate instances and ensure ongoing updates are built within these systems.
- In conjunction with the Sr. Associate Director of Operations, manage the timeline and workflow for the applicant evaluation process. This involves pre-screening applications for potentially fraudulent credentials, the assignment of applications to the appropriate reviewers, recording application decisions, and assisting with the decision notification process. Additionally, the Assistant Director will personally review a large portfolio of applications and make recommendations as to students' admissibility.
- Assist prospective students, applicants, and admitted students by responding to their inquiries by email, phone, and in-person.
- Attend various recruitment and yield events to support the Office of Admission and Financial Aid in representing Penn GSE both on and off-campus. Likewise, provide support to the Office of Student Success with current student events, such as New Student Orientation and Commencement.
- Assist the Sr. Associate Director of Operations in responding to requests from academic programs and other key constituencies within GSE and Penn to provide data, queries, dashboards, and reports.
- Perform additional duties as assigned
Qualifications
ESSENTIAL:
- A Bachelor's degree and 2-3 years of experience, or equivalent combination of education & experience combined.
PREFERRED:
- Prior knowledge of the Slate application system or a similar CRM is strongly preferred.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, and in alignment with salary ranges based on external market data for the job's level.
