Assistant Director, TRIO Student Support Services
Job Summary/Basic Function
The Assistant Director reports to the Director, TRIO Student Support Services and is responsible for supporting the efficient and effective day-to-day operations, TRIO Student Support Services activities, logistical support, IT laptop project, co-facilitate the Learning Lab and resources. Oversee expense tracking for fiscal compliance and reporting to the Director. Provide coaching to participants when needed for students enrolled in the program, prepare requisitions for goods and services, support front desk operations, conduct virtual appointments, schedule operational resources, supervise undergraduate student assistant or interns, and support TRIO Student Support Services staff. The Assistant Director will assist with the Director’s Annual Performance Report (APR), all end-of-year programming, attend as requested institutional stakeholders’ meetings in the absence of the Director and support the day-to-day operational requirements outlined in the grant. Continuation of the position assumes availability of on-going grant funding.
Responsibilities
- Establishes and maintains planning, assessment files, and related databases; ensures completeness and accuracy of program and student files.
- Provides day-to-day coordination aligned to the department’s program objectives, student programming, and support for staff.
- Coordinate and manage comprehensive databases in accordance with Federal guidelines (EDGAR).
- Schedule and implement program tracking applications and assure correct student academic records in Banner and department’s databases are accurate and dependable.
- Manage and maintain program files, student files, department’s internal database in accordance with federal records management guidance and use databases to manage electronic and paper record keeping.
- Maintain and record program expenses and provide monthly expense report to the Director.
- Processes and follow-up with TRIO SSS enrollment applications, electronic, virtual, and physical correspondence, schedule conferences, required professional development, student trips, and travel arrangements, and conduct academic coaching when needed.
- Assists throughout critical months(s) program assessment data for the Annual Performance Report (APR) including collection, categorizing and analysis of data and submit data to the Director when needed.
- Develop a comprehensive database and coordinate sensitive confidential documents to ensure security of FERPA documents.
- Coordinate student assistants and/or intern work assignments for operational support and the Learning and Tutorial Lab.
- Assure collaboration and schedules required meetings with stakeholders to achieve the Department’s objectives.
- Manage data transfer from three information portals in Student Access and/or other approved institutional/program databases.
- Create reports illustrating program’s services provided, students served, and student assessments.
- Coordinates and processes all transactions for departmental and program needs, student educational, leadership and socio-cultural field trips, and professional development.
- Review, update, and manage the department’s website and prospective applicant wait-list pool.
Minimum Qualifications
Master’s degree, three years of experience demonstrating project and/or program management, database management, report extraction, budgeting and student coaching/engagement. Program or project coordination and supervision are preferred. Demonstrate knowledge of Banner, or a similar student information system is preferred. Microsoft (suite) and spreadsheet utilization are essential.
