Assistant, Peer-to-Peer Fundraising

The Jimmy Fund Peer-to-Peer Fundraising team seeks a proactive, detail-oriented Assistant. The Assistant plays a major role in supporting event logistics for the Jimmy Fund Walk, Dana-Farber Marathon Challenge, Falmouth Road Race and the Boston Half. The position also provides administrative support for day-to-day team operations, ensuring seamless coordination of meetings, gift processing, vendor payments, budget reconciliation and website functionality. This position reports to the Associate Director, Peer-to-Peer Fundraising and collaborates with members of the team to ensure all goals and KPIs are achieved. Internal title: Assistant, Jimmy Fund.

Responsibilities:

  • Event logistics:
    • Maintain inventory of event supplies & merchandise
    • Work with fulfillment house on inventory management and distribution as applicable
    • Oversee supply lists and packing for large events including the Jimmy Fund Walk and Dana-Farber Marathon Challenge
    • Assume major responsibilities and/or a leadership role involving set-up and logistics for Peer-to-Peer fundraising and stewardship events
  • Participant support:
    • Respond to participant calls and emails through the Jimmy Fund Walk phone line & inbox
    • Assist with registration of Walk participants
  • Information Systems support:
    • Develop an advanced knowledge of Luminate Online, ClearView (CRM), VolunteerLocal and Sharepoint software systems
    • Participate in Jimmy Fund Walk website build and testing; monitor ongoing performance of site and Facebook Fundraisers
    • Liaison to IS team, reporting and tracking website issues and requests
  • Fiscal & Regulatory Management support:
    • Support team’s event budgets by processing all vendor invoices, creating and tracking purchase orders, and reconciling team expenses
    • Act as primary team contact for handling Jimmy Fund mail and processing gifts and acknowledgements
  • Reporting & analysis:
    • Create, produce, and distribute reports in Excel to track fundraising and participation progress
  • Collaborate with colleagues across the Jimmy Fund to identify best practices and areas for innovation and growth
  • May work on special assignments and projects as needed.

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Strong written and oral communication skills.
  • Proficient knowledge of computer applications including Microsoft Office Suite, Google Suite, Zoom, Adobe.
  • Basic experience analyzing, interpreting and reporting on data to inform programmatic decisions.
  • Excellent attention to detail skills.
  • Exceptional customer service skills and the ability to interact professionally with peers, leadership, and external contacts.
  • Must possess the ability to problem solve with minimal guidance, maintain confidentiality, and pay attention to detail.
  • Excellent ability to organize, prioritize and follow-through.
  • Ability to apply independently a wide variety of policies/procedures where specified guidelines may not exist.

MINIMUM JOB QUALIFICATIONS:

High school diploma or equivalency required. Associate’s/Bachelor’s degree preferred. No experience required.

Pay Transparency Statement: The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications. For union positions, the pay range is determined by the Collective Bargaining Agreement (CBA). $50,200.00 - $56,000.00
