Job Overview
The COM Dean’s Office of Student Affairs is recruiting a full-time Assistant Registrar. This position will work closely with the College of Medicine Registrar and other administrative staff to contribute to the seamless functioning of the college's academic operations. This position demands meticulous attention to detail, strong organizational skills, and the ability to communicate effectively with students, alumni, staff, and third-party institutions. This position involves functions related to medical student registration and records and strict compliance with regulatory requirements.
Essential Functions
Provide comprehensive support for the Performance and Academic Achievement Committee (PAAC), including: preparing and distributing agendas and meeting materials, scheduling meetings and managing email voting processes, recording and maintaining meeting minutes, communicating PAAC decisions and letters to students, monitoring students alerts and formative feedback forms, tracking exam, course, and USMLE failures, monitoring student graduation date changes.
Plan and coordinate the annual Honors Day (graduation) ceremony with the Honor’s Day Committee and the Dean’s Office, including but not limited to: regalia, awards, program, speaker notes, music, audio/visual needs, website, flowers, parking arrangements, stage party coordination, guest Hooders, venue selection, vendor payments.
Support and coordinate Registrar’s Office responsibilities for students on individualized or non-traditional academic timelines (“off-cycle” students), including tracking and managing academic progress for off-cycle students and coordinating registration, scheduling, and compliance with relevant offices.
Assist with additional Registrar’s Office operations as needed, including student records, registration, degree verification, and compliance with FERPA and other regulatory requirements.
Required Education
Bachelor’s Degree. Nine (9) years of relevant education, experience and/or other specialized training can fulfill minimum education and experience requirements.
Required Experience
Five (5) years of experience in a registrar’s office or related administrative role in higher education. Familiarity with student information systems and records management.
Additional Qualifications Considered
Demonstrates evidence of prioritizing tasks, multi-tasking, and strong organizational skills. Excellent oral and written communication skills including demonstrated strong interpersonal skills with peers, colleagues, students, and administration. Displays demonstrable experience in being able to work independently and collaboratively with others.
Work Schedule
M-F; 8:00AM – 5:00PM. Hybrid schedule pending review after probationary period of 6 months. Hybrid = .6 (in-office 3 days) and .4 (2 work from home days) as workload or schedules permit.
