Responsibilities DESCRIPTION: The Assistant Registrar, Systems and Technology shares in the management of the College’s Registrar’s Office and provides leadership of the department in the Registrar’s absence. Directs the business applications of the Registrar’s Office and provides strategic functional expertise and technical support for other Student Affairs departments and their functions within PeopleSoft Campus Solutions. Serves as technical lead for system updates to Student Affairs
functions, coordinates and facilitates the joint work of all stakeholders in understanding project requirements, defining and prioritizing functionality, and coordinating end-user training. ESSENTIAL FUNCTIONS: 1. Supervises technical/functional staff, including strategic direction, leadership, coaching, mentoring, goal setting, professional development, and training to support the Registrar’s Office and its stakeholders. 2. First point of contact in providing technical leadership and direction College wide on process-related issues for student records and enrollment services. 3. Coordinates with Computer Services in the analysis, design, implementation, testing, and maintenance of PeopleSoft/ERP Campus Solutions to ensure optimal system integration and performance. 4. Analyzes and interprets business processes, federal and state regulations related to student records to ensure accuracy and compliance. 5. Manages project with related technical needs and systems solutions of large-scale initiatives. 6. Identifies business processes improvements in partnership with leadership, process owners, and end users throughout PeopleSoft Campus Solutions and related system applications. 7. Establishes and maintains annual production calendar of system and business processes to track/benchmark required tasks and assigned staff. 8. Coordinates operational system troubleshooting and reporting of issues. Diagnoses and resolves problems related to PeopleSoft and other third-party vendor system applications. 9. Coordinates, approves, and audits access and security for PeopleSoft and other third-party vendor system applications. 10. Directs interface with the National Student Clearinghouse (NSC) for enrollment and degree file transmissions and supervises student records reconciliation. 11. Monitors, analyzes, and reconciles system tables for student records to ensure data integrity. 12. Directs beginning and end-of-term functions including multiple term registration, term activations, enrollment appointments, grade roster validations, grade posting, and reporting of student academic progress and honors. 13. Directs PeopleSoft bundle and system upgrade testing for Student Affairs. Leads technical/functional team members to ensure the student life cycle is fully tested for all departments. 14. Provides leadership at commencement ceremonies and supports all activities related to the event. 15. Performs other duties as may be required or assigned. REQUIRED QUALIFCATIONS: 1. Bachelor’s degree from a regionally or nationally accredited institution. 2. Four years of experience in Enterprise Resource Planning (ERP) implementation or development, preferably in PeopleSoft Campus Solutions. 3. Two years of team lead or supervisory experience. DESIRED QUALIFICATIONS: 1. Master’s degree from a regionally or nationally accredited institution. 2. Experience with relational databases, SQL, or query writing. KNOWLEDGE, SKILLS & ABILITIES: 1. Knowledge of secondary and postsecondary educational records requirements and policies. 2. Excellent computer skills, including knowledge of technical software including PeopleSoft and proficiency in Microsoft Office (Outlook, Word, Excel, Teams) and Adobe products. 3. Ability to become proficient in SQL. 4. Knowledge of Federal and State of Florida policies and statutes governing community colleges, and governing board rules. 5. Advanced knowledge of the student information system and the dependencies of a relational database to analyze and resolve systematic issues and errors. 6. Ability to diagnose issues from a “systems” perspective and design strategies that fix the system. 7. Ability to effectively lead and develop employees to achieve peak performance goals. 8. Ability to manage multiple responsibilities simultaneously. 9. Excellent verbal, written and interpersonal communication skills. 10.
