Job Purpose
The Assistant Vice President, Director of Admissions assumes responsibility for the Admissions office in the absence of the VP and Dean of Admissions and Financial Aid. The AVP assesses staff and resource needs and oversees the Admissions department budget, consulting with the VP and Dean as needed. This position is responsible for the direction and executive oversight of 6 employees, including an Administrative Assistant, 3 Associate Deans, the two Admissions officers reporting to the Associates, as well as the services provided by them in the Admissions office. This includes the functional areas of communications and marketing, hiring and training, and internal research and data analysis. The AVP also manages important intra-campus relationships by working with the heads of Athletics, Music, and Alumni Relations, and serves as a potential resource to the media when there are questions regarding admissions. The AVP is part of a senior leadership team that includes the VP, the Director of Financial Aid, the Director of Communications and Marketing, Senior Associate Director of Financial Aid and two Senior Associate Deans of Admission. As a member of this team the AVP will be expected to collaborate and advise on additional work in areas overseen by other senior members of the office related to student recruitment, relationships with vendors and strategic partners, enrollment management, staff development, strategic planning and work related to the access mission of Pomona College.
Essential Functions
- Reporting directly to the Vice President and Dean of Admissions and Financial Aid, the Assistant Vice President and Director of Admissions performs the following essential duties and responsibilities:
- Provide clear direction and oversight of all department activities in order to develop and achieve annual goals, including budgeting, planning and staff development. Responsible for monitoring and evaluating direct reports, and overall department staff performance and daily assignments. Maintain an efficient, collegial, and proactive work environment within the Admissions office and collaborating departments.
- Oversee day-to-day operations of the department, working collaboratively with the Associate Deans to ensure effective oversight of all office activities and programs.
- Manage the effective use of the admissions budget lines.
- Manage a team of Admissions staff members including an Administrative Assistant, three Associate Deans, and their direct reports.
- Assume responsibility for the Admissions department in the absence of the VP and Dean.
- Oversee training for new staff members.
- Organize the staff hiring processes in the office.
- Advise and counsel staff on matters related to the development and implementation of policy, budget, and personnel issues.
- Manage the office's post-admission integrity process.
- Ensure that students who intend to enroll at the College receive essential support and engagement post enrollment.
- Oversee the process of investigation for incidents involving issues of academic or behavioral integrity.
- In collaboration with the V.P., lead any necessary enrollment management processes after May 1.
- Represent the Admissions office to various constituents within Pomona College, acting on behalf of the VP and Dean of Admissions and Financial Aid when appropriate.
- Participate in the development of the Admissions department budget and make recommendations regarding staffing and equipment.
- Participate in the development of Admissions policies and oversee implementation.
- Partner with the Financial Aid office to ensure coordination and smooth delivery of service to constituents.
- Represent the Dean and VP at Claremont Colleges VP meetings if needed.
- Represent the Dean and VP on various internal boards (Parent Board, Alumni Board, Trustee Meetings).
- Manage the office's relationship with the Department of Athletics.
- In collaboration with the Director of Athletics, define and oversee the office's relationship with the Pomona-Pitzer Department of Athletics.
- Oversee the training and support of admissions officers designated to support work with the Department of Athletics throughout the year.
- Represent the Admissions office to various constituents external to the college, acting on behalf of the VP and Dean of Admissions and Financial Aid when appropriate.
- Oversee a travel and reading territory and represent the College to high schools and colleges.
- Attend national and regional conferences on behalf of the College.
- Participate in one or more group travel assignments annually as the Pomona College representative.
- Conduct group information presentations and make Pomona College Admissions presentations at various office open house and yield events.
- Collaborate with the senior leadership team on work in the areas related to student recruitment, relationships with vendors and strategic partners, enrollment management, staff development, strategic planning.
- As manager of Associate Deans, ensure strong staff development and training programs.
- As manager of Associate Deans, ensure high-quality communication and marketing efforts as well as internal data research is carried out in an efficient and high-impact manner.
- In collaboration with Senior Associate Deans, ensure work related to admissions technology, access recruitment and modeling and forecasting is accurate, budget sensitive and mission appropriate.
- Collaborate with the Director of Special Projects and the VP and Dean to coordinate special projects/tasks and provide assistance as assigned.
Qualifications
Education/Licenses/Certificates
Bachelor's degree is required, or equivalent combination of education and experience. Master's degree is preferred. A valid driver's license is required or equivalent means of reliable transportation to off-site meetings and events.
Experience
A minimum of 10 years of leadership experience, preferably in a higher education setting, with increasing responsibility in the areas of working with students and counselors is required. Supervisory experience at an academic institution is preferred.

Must handle all activities and highly confidential information with patience, discretion, tact, and a keen eye for detail.
- Provide exceptional customer service through timely and thoughtful responses to e-mails, phone calls, and other modes of communication.
- Able to operate computers with basic Microsoft Office software (such as Word, Excel, Outlook) and associated professional software (such as Techno solution's Slate, Internet research, menu-driven databases, social media networking). Demonstrated understanding of the use of technology in aiding and improving systems and processes to achieve annual goals. Able to handle multiple tasks, meet deadlines, and work both independently and as a collaborative member of the College in support of the College's strategic vision and the division's annual enrollment goals. Must understand and communicate the mission and history of the College's liberal arts environment. Must have exceptional organizational, time management and judgement skills to complete work with accuracy and attention to detail and to handle extensive reading.
Required Hours
The regular hours for this full-time position are 8:00 a.m. to 5:00 p.m., Monday – Friday. Holiday, weekend and evening work hours may be required. Regular hours may vary due to the needs of the College or division.
Additional Position Details
Regular, full-time, exempt position. Salary: $150,000 - $165,000. The specific factors that the College will consider when offering a salary to an individual will include, but not be limited to: education, training, relevant prior experience, and performance in prior roles. All staff positions are ineligible for visa or permanent resident card sponsorship. As a California employer, Pomona College requires all employees to be residents of California.
