Associate Director Advancement Data Services & Training
Job Summary:
The Institutional Advancement team seeks an Associate Director Advancement Data Services & Training to join their team! The Associate Director plays a critical role in Data Management to ensure accurate information is available to all partners, and serves as the Training lead for the Institutional Advancement Division.
Primary Responsibilities:
Data Services and Records Processing
- Oversees specific workflows, processes and standards affecting biographical areas of the constituent records.
- Oversees a Data Calendar that tracks all datapoints in Slate, monitoring them for scheduled updates.
- Monitors constituent records for accuracy and assigns/conducts updates as necessary.
- Generates a series of data audits looking for data not held to standard.
- Record updated information in the appropriate portion of the constituent record and review related portions of the record to determine if further changes or research will be necessary.
- Proactively search for new biographical data using Internet-based search sites, various written and electronic media, professional directories, and telephone inquiries.
- Collaborate with division and campus partners to monitor, collect and update involvement including but not limited to student activities, college-related activities and board participation.
- Create records in the database for new constituents and organizations; create appropriate links as needed.
- Oversee the duplicate record process by monitoring the process and executing any needed corrections.
- Proficient in general query creation and updates in Slate.
- Provides user feedback for Information Technology collaboration data automation projects including integrations with Banner for various types of constituent records.
Training
- Develop a schedule to onboard all new Slate users for the efficient use of the CRM. Develop training resources and update as necessary.
- Communicate training needs and online resources to Subject Matter Experts supporting training.
- Create training strategies and initiatives by periodically evaluating current staff's knowledge and use of the CRM looking for additional ways to support them.
- Participate in the updating and organization of various Advancement technologies to include a training resource on use and processes.
Gift Processing:
Serves as the back up to the Assistant Director of Gift Services for gift and pledge processing (all types) with primary support during absence or high-volume time periods. Requires periodic entry over the course of the year for knowledge retention.
Project Management:
Responsible for recruitment, hiring, training, management, and review of student employees within Data Services area.
Minimum Qualifications & Education:
- Bachelor's degree from an accredited college or university.
- Minimum of 2 years of experience in a related field.
Preferred Qualifications:
- Work experience in higher education and/or a non-profit organization.
- Experience with CRM Slate Advancement.
Knowledge, Skills, and Abilities:
- Proficiency in Microsoft Office required and familiarity with a relationship CRM or similar information system.
- Ability to handle confidential information, maintain and update files with high degree of accuracy, and sensitivity.
- Strong organizational and analytical skills; detail-oriented; ability to set priorities and manage time effectively in a deadline-driven environment.
- Strong interpersonal skills; ability to work well with donors, prospects, business executives, as well as Rollins faculty, administrators, staff, and students.
Work Environment:
- Campus-based, front-facing customer service position, working in an office environment.
- Regular use of a computer and databases.
- Must be able to work flexible hours, which include evenings and weekends, based on business needs.
