Overview

The Associate Director - Clinical Operations of the Yale New Haven Transplantation Center provides strategic and operational leadership for multidisciplinary transplant clinic services, including kidney, liver, and pediatric abdominal programs. The Center’s mission is to provide comprehensive, multidisciplinary care to candidates and recipients for abdominal solid organ transplants. The center offers routine follow-up care, urgent care, minor procedures, imaging, and infusion services. Care is provided at 4 locations across Connecticut. The Associate Director manages and monitors, policies, practices and procedures in one or more operational areas such as:, information technology, financial reporting, facilities management, research oversight, and compliance with federal and state policies governing the practice of solid organ transplantation. This role is responsible for ensuring efficient, patient-centered care delivery across the continuum-from referral and evaluation through post-transplant follow-up.

Key Responsibilities

Operational Leadership

  • Oversee daily operations of 4 abdominal transplant clinics, ensuring timely access, patient flow, and optimal resource utilization.
  • Develop and implement operational strategies to support program growth, access, and patient experience.
  • Partner with medical and surgical leadership to align clinic operational priorities.

Program Development & Performance

  • Monitor and analyze key performance indicators (KPIs) specific to flow of patients through appts.
  • Lead process improvement initiatives to enhance efficiency, reduce delays, and improve patient and patient experience for transplant clinic.
  • Support program expansion initiatives, including outreach, referral development, and service line growth.

Regulatory & Compliance

  • Maintain readiness for audits, site surveys, and regulatory reviews. Collaborate with quality teams to ensure compliance with transplant-specific policies and protocols for clinic space.

Team Leadership & Development

  • Foster a collaborative, high-performing multidisciplinary team environment in the clinic space.

Financial & Resource Management

  • Optimize staffing models and resource allocation to support clinical demand.
  • Identify opportunities for cost containment and revenue optimization for clinic supplies, infusion rooms.

Required Skills and Abilities

  1. Outstanding customer service, organizational, and oral and written communication skills. Ability to work successfully in a fast-paced and changing environment.
  2. Proven experience supervising and directing staff or teams, with strong interpersonal skills and the ability to foster an inclusive workplace.
  3. Strong leadership and team-building skills, with the ability to manage multiple projects simultaneously and meet competing deadlines.
  4. Critical thinking and problem-solving skills, with the ability to respond to emergencies and take a leadership role in crisis situations.
  5. Proficiency in Microsoft Office Suite and the ability to learn and master new software packages and database systems. Ability to utilize Epic, including, but not limited to reports, scheduling, and optimization.

Preferred Skills and Abilities

  1. Extensive facilities, contract, and project management experience, with knowledge of building management systems and facility operations.
  2. Advanced degree in a relevant field or certification in professional safety, risk management, or claims (e.g., AIC, ALCM, ARM).
  3. Demonstrated creativity and effectiveness in a complex organization, with experience integrating complex financial information for decision-making.
  4. Knowledge of state and federal employment regulations and experience with database systems such as Workday, Salesforce, or Interfolio.

Principal Responsibilities

  1. Reviews and determines staffing needs, job posting requirements, salary guidelines, and labor agreement interpretations for exempt and non-exempt staff in one or more functional department of the University.
  2. Manages the administrative support needs for exempt and nonexempt staff and provides recommendations, improvements, solutions and assistance as needed.
  3. Manages and monitors technology needs, conducts inventory, and system requirements for the assigned departments.
  4. Develops and prepares budgets, financial forecasts, and financial analyses and the actual vs. budgeted performance reports for the departments.
  5. Manages the use of facilities in one or more departments including office space, work stations, equipment, and office supplies.
  6. Manages administrative support for activities of one or more departments to ensure timely completion of projects.
  7. Manages and coordinates training sessions for assigned departments when new policies or practices are adopted.
  8. Ensures compliance with University and federal regulations as they apply to the assigned departments.
  9. Identifies, plans, and develops administrative policies for the assigned departments.
  10. Assists in reviewing and implements University and departmental policies as they pertain to the administrative functions of the assigned department.
  11. Assesses and makes recommendations regarding staff development and staffing levels.
  12. Monitors, develops, plans, and executes systematic research on user requirements through such mechanisms as surveys, interviews, focus groups and competitive analysis.
  13. Manages a staff of exempt and non-exempt employees.
  14. May perform other duties as assigned.

Required Education and Experience

Bachelor’s Degree in related field and six years of related experience or an equivalent combination of education and experience.
