Under the general direction of the Assistant Principal & Registrar, the Associate Director, Front-line Services and Administration ensures the smooth operations of the unit by providing leadership and managerial oversight to the frontline advising services teams and managing key areas of student registrarial services including, but not limited to course enrolment and registration, petitions, and graduation. This position is responsible for ensuring the New College Registrar’s Office front-line service meets or exceeds service standards agreements related to timely and accurate response times to student inquiries. The role is responsible for ensuring appropriate triage for students who present with urgent needs. In addition, this position plays a lead role in the development of student communications strategies that are responsive to student needs and feedback and provides insights and implements technologies in the front-line advising office to optimize student service and success. The Associate Director works together with the Registrar in the development of strategic plans for process, service and system improvements and assumes additional leadership responsibility and administrative oversight for the department in the absence of the Registrar. The incumbent ensures the strategic plans are informed by consultation with key stakeholders (internal and external); current and historical data; market research and competitive analysis; demographic patterns and forecasts; best practices and emerging strategies/tactics; available technology; internal context; and aligns the programs with the vision/mission/values and broader strategic priorities.

The Associate Director has a deep understanding of efficiency, business services, project management, student success, and student development, as well as the challenges faced by New College students at the Faculty of Arts and Science in delivering professional student support, and to comprehend complexities and trade-offs involved in meeting the needs of the students, the faculty and the University. This position works with Assistant Principal & Registrar to provide leadership and senior-level student support and represents New College at various faculty and student committees, and at the University of Toronto.

Qualifications:

I. EDUCATION:

University degree required; graduate degree preferred (i.e. education); or an equivalent combination of education and experience

II. EXPERIENCE:

Five (5) years’ progressive experience at an intermediate to senior administrative level related to student and registrarial services, preferably in a post-secondary environment. At least two (2) years’ experience in progressive supervisory positions within a unionized environment.

Knowledge of the University of Toronto’s academic policies, systems and procedures. Direct experience developing, implementing, and continually evaluating registrarial and student services, and academic advisory services. Demonstrated ability in designing and implementing procedures that improved the effectiveness and efficiency of student registrarial services.

Proven experience in developing strategic and operational plans, as they relate to delivery of academic support and communications. Demonstrated experience advising students and managing nuanced student cases in relation to student mental health concerns, academic risk factors, concerns with personal safety, etc.

III. SKILLS:

Superior oral and written communication skills. Advanced knowledge of Microsoft Office including Excel and Word. Demonstrated strategic, analytical, conflict resolution, organization and planning skills. Strong leadership and interpersonal skills with a demonstrated ability to build effective working with relationships with partners and stakeholders. Superior presentation and training skills. Highly developed and effective problem solving skills. Ability to exercise tact, judgement, and maintain confidentiality of sensitive information. Must be able to multitask and prioritize in order to meet deadlines.

IV. OTHER:

Proven sensitivity and ability to act on issues and initiatives involving equity and diversity. Ability to initiate policies and implement office work priorities and procedures. Detail oriented. Demonstrated initiative. Ability to motivate staff to work collaboratively towards the goals of the office.
