Business Coordinator
Position Description
Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants
Major/Essential Functions
Monitors budgetary activity and tracks expenditures against allocations across Fraternity and Sorority Life, Spirit, the Student Enrichment Center, and Student Involvement. Reconciles departmental accounts on a recurring basis and prepares summary financial reports for the Director of Business and Finance to support informed budget decision-making across all four areas and individual department Directors.
Serves as authorized p-card holder for assigned Student Life departments. Processes, documents, and reconciles p-card transactions in accordance with TTU purchasing policies. Coordinates preparation and submission of purchase orders and communicates with vendors and university procurement offices as needed to facilitate accurate and timely purchasing activity.
Coordinates conference travel, team travel, and travel-related paperwork for department staff and student groups across the four supported areas. Assists directors and staff with travel-related financial actions including pre-travel authorization, expense report submission, and post-travel reconciliation to ensure accurate and timely processing.
Serves as a consistent operational point of contact across Fraternity and Sorority Life, Spirit, the Student Enrichment Center, and Student Involvement. Facilitates communication and coordination between department directors and the Directors office, helps surface operational needs across units, and supports consistency in administrative and financial processes division-wide.
Provides general administrative support to the directors of the four supported departments and the supervising Director, including drafting correspondence, preparing materials, managing documentation, scheduling meetings, coordinating availability across departments, and ensuring timely communication of meeting details. Responds to written, phone, and in-person inquiries directed to the supported departments or the Student Life office with professionalism and appropriate follow-through. Routes communications to the appropriate party and maintains a high standard of responsiveness. Provides event planning and logistical coordination support for department-level activities within the four supported areas and assists Student Life upper-administration with larger divisional events as needed.
Performs additional duties as assigned by the Director of Business and Finance in support of Student Life operational needs and divisional priorities.
Required Qualifications
Bachelor's degree plus two (2) years related experience; OR a combination of education and/or progressively responsible related experience to equal six (6) years.
Preferred Qualifications
- Experience working within university financial systems such as Banner, Emburse, or comparable platforms.
- Experience coordinating events or logistics involving multiple departments or large groups. Strong working knowledge of Microsoft productivity tools including Excel, Word, Outlook, and Teams in a professional administrative environment.
