Business Coordinator
Position Description
Performs coordinative work in the business or administrative operation of a specific department or college. Responsibilities involve the coordination and supervision of the various functions and aspects of a department as well as monitoring operational procedures. Work is performed under general supervision with evaluation based on results obtained. May supervise staff or student assistants.
Major/Essential Functions
- Prepare/submit /track daily and annual purchase orders (POs), for assigned area(s). Complete electronic receipts in TechBuy for invoice and payment processing. Maintain departmental procurement card, reconcile monthly procurement card statement.
- Maintains and monitors FOPs on a daily, monthly, and annual basis for assigned area(s). Review Open Encumbrance Report for assigned area(s) on a weekly basis. May assist with cost analysis, fiscal year expenditures analysis, and budget preparation.
- Process required invoicing related to work orders and projects to include Gateway entries, IV entries, and updating work order logs accordingly.
- Maintain supply inventory for assigned area(s), including keeping office and break room supplies stocked and organized and handling supply requests from staff.
- Answer telephones for assigned areas in a professional manner and provide excellent customer service. Organize and facilitate meetings and conference calls as needed. Process outgoing mail. Sort and deliver incoming mail.
- Calculate, coordinate, and make travel arrangements. Prepare travel pre-approvals/expense reports for travelers in assigned area. Process and review travel related forms as needed, ie Travel Exception Form.
- Provide support to assigned areas including assisting with conference registrations, meeting preparation, conference room reservations and preparations, and campus parking requests. Maintain Conference Room calendar for the ATLC.
- Assist Senior Events Coordinator with IT Events which can include monitoring attendance, handing out supplies/flyers, etc for the day of the event. Events can include Red Raider Orientation, Community Outreach, IT departmental events, etc.
- Communicate with stakeholders for events and areas that are supported by updating with relevant details and updates. This can include dates, times, funding, and final results.
- Handle accordingly all Student Assistant personnel processes including new hire paperwork, ePAFS, on-boarding, drug screen consents and authorizations, and payroll related items for High Performance Computing Center.
Required Qualifications
Bachelor's degree plus two (2) years related experience; OR a combination of education and/or progressively responsible related experience to equal six (6) years.

Pay Range
$23.08 - $30.63 - $37.69
