Job Description
The Veterinary Clinical Receptionist is a key member of the Client Services team at Penn Vet's Ryan Veterinary Hospital. This position plays a critical role in delivering compassionate, efficient, and professional service to clients and their pets at our Emergency, Front, and Appointment Desks. As the first point of contact for many clients, the receptionist sets the tone for a positive experience by providing exceptional customer service in a fast-paced clinical environment.
The function of this position is to provide Essential Personnel staffing for Ryan Veterinary Hospital Client Services Emergency Desk, Front Desk, and Appointment Desk. This Customer Service role will provide excellent customer service to clients who bring their pets to Penn Vet for treatment and serve clients both in person and over the phone. The role requires registering and discharging patients, making sure proper charges are posted, and that the correct payments are applied. Receptionists will be cross trained to work Front Desk and ES Front Desk. Client Services must foster and maintain a good working relationship with all other hospital departments. Receptionists must be comfortable handling confidential medical information. Weekend shifts are required. Will be required to be on the On-Call schedule.
Job Responsibilities
- Call for triage when clients come into Emergency Services (ES) with an emergency.
- Process all intake paperwork, discharge paperwork, and manage the client/doctor interactions.
- Check clients in and out of appointments.
- Print discharges for inpatients being discharged.
- Answer the ES phone lines and assist clients with determining if they need to come into ES.
- Transfer calls from referring veterinarians to the ES doctors. Advise when to call Poison Control.
- Answer patient information calls and contact the doctors for updates.
- Monitor and maintain the transfer board.
- Work with Medical Records to make sure ES charts are added to the medical record.
- Makes copies, send faxes, keep all forms stocked.
- Admit all A.M. patients to the hospital that will be transferred to other services.
- Implement daily risk management procedures to ensure hospital consent forms are signed and notifications are sent regarding infectious disease statuses.
- This is an essential personnel position.
Qualifications
High School Grad/GE Degree and 1 to 2 years of experience or equivalent combination of education and experience is required. This position requires strong customer service skills, basic math skills, the ability to communicate effectively, both written and verbally, with clients, clinicians, and staff. Previous receptionist experience is preferred as well as the ability to handle a very busy emergency room and clinic appointments. Seeking candidates who will work collegially with everyone within the department including doctors, students, and staff. Previous customer service and phone skills required. An additional shift differential of 15% to 30% will be paid for hours worked after 8 p.m. or weekends. This position requires being cross trained to work the front desk and ES front desk. Must foster and maintain a good working relationship with all other hospital departments. Weekend shifts and on call participation are required.
Targeted Pay Range: $18.50/hr to $20.00/hr.
