About the role

Join our newly configured team supporting the five academic communities within the Department of Physics. Our department is home to over 1,500 staff and students, and you’ll play a central role in helping these diverse and vibrant communities thrive.
As a Community Administrator, you’ll provide high-quality administrative support, work closely with staff and students across all levels, and contribute to continuous improvements in how we operate. If you enjoy problem solving, collaborating with others, and delivering excellent service, we’d love to hear from you.
This post is two years fixed term in the first instance, full time (35 hours per week) and with a commitment to primarily being on campus due to the customer facing nature of this role.
You will support one or more Physics communities through a wide range of responsibilities, including:
Human Resources & Finance
- Coordinating recruitment processes
- Managing HR paperwork such as contract changes and visitor arrangements
- Supporting staff and visitor onboarding
- Assisting with account monitoring and expense processing
- Supporting staff with routine financial queries
- Approving expense claims
Operations, Events & Collaboration
- Maintaining community webpages and communication channels
- Coordinating meetings, seminars, and events (including occasional out of hours work)
- Managing shared filing systems and timesheet processes
- Supporting visiting student applications and maintaining mailing lists
- Working closely with fellow administrators
- Sharing good practice and contributing to process improvements
- Providing cover for colleagues when needed
We’re looking for someone who is:
- Highly organised with excellent time management skills
- A strong communicator with great interpersonal skills
- Confident managing multiple priorities
- Experienced in producing clear and accurate written materials
- Skilled in Microsoft Office (Word, Excel, PowerPoint)
- Proactive, adaptable, and detail -focused
