Job Description

This position will direct and manage the financial and administrative functions for Rockefeller College's two faculty-focused research centers: the Center for Policy Research (CPR) and the Hindelang Criminal Justice Research Center (HCJRC). Together, the centers administer a multi-million-dollar annual portfolio of contracts and grants serving federal, state, and local sponsors in the public sector. This staff position will manage the administrative functions necessary to support research activities conducted by Rockefeller College's faculty and staff, facilitating the administrative management of sponsored projects, and advising the Rockefeller Research Center Director. The person in this position will serve as the primary financial liaison with sponsors, RF and University offices, outside vendors, and both affiliated research centers and will manage financial activity within both Rockefeller research centers. This position plays an absolutely essential role in enabling Rockefeller College faculty to administer external awards.

Primary Responsibilities:

  • Financial Management: This person works independently directing the administration of sponsored projects, including managing budgets for faculty contracts and grants, facilitating payments on projects, preparing and analyzing financial reports for sponsors. This person will also manage faculty IFR accounts.
  • Contract management: This person will provide the expertise needed to help faculty navigate issues related to establishing and administering their awards and MOUs compliantly with the varied needs of federal, state, and private sponsors, along with university and SUNY requirements. This person will help faculty answer contract- and budget-related questions, such as consulting with faculty on administrative issues involving interfacing NYS agencies and partners.
  • Drawing on their expertise in leading faculty contract and financial administration, this person will bring high level value in providing feedback to faculty in preparing and editing budgets and planned contractual relationships for sponsored projects.
  • Personnel Management: Direct personnel and staffing, such as managing staff and faculty appointments, managing payroll and the submission of appropriate paperwork and new hire processing, including onboarding student positions for RF and NYS related roles. Manage and coordinate the work distribution of the Center Staff Assistant and provide mentorship.
  • Center general administration including ITS problem solving for on campus and off campus staff and faculty, facilities, and communications. This person will oversee both Centers' websites by managing it to meet current University standards and research, as well as liaise and respond to e-mails from the public concerning research. This person will track and communicate to Rockefeller College faculty about internal research opportunities. This staff person will manage the office space related to Rockefeller Research Centers manage and direct research center events and activities.

Functional and Supervisory Relationships:

  • Reports to: Rockefeller College Research Director
  • Supervises the following positions: CPR Staff Assistant, clerical support, and students

Job Requirements:

  • Knowledge and skilled in contract and grant administration
  • Experience in office management
  • Strong problem solving and analytical skills
  • Computer literacy and demonstrated skills using Microsoft Office, particularly MS Excel.
  • Excellent organizational, verbal, and written communication skills.
  • Ability to collaborate professionally with different levels of management at a high level.

  • Facilitating the organization of research center and Rockefeller College events

Required Qualifications:

  • Bachelor's degree from a college or University accredited by the US Department of Education or internationally recognized accrediting organization.
  • 3 to 5 years of relevant experience in providing administrative support on grant-funded activities, such as supporting in the development and management of project budgets, or engaging in financial management related activities for nongovernmental organizations or local, state, or federal agencies

Preferred Qualifications:

  • 5 or more years of experience in a complex administrative management
  • Previous work experience involving accounting or budget management
  • Graduate degree from a college or University accredited by the US Department of Education or internationally recognized accrediting organization.

Working Environment:

Typical office environment.

Additional Information:

Professional Rank and Salary Grade: SL-4, Staff Associate, $75,000-$83,000
