Ngā kōrero mō te tūranga – About the role
As Division Administrator (Operations), you will provide comprehensive operational, financial, and human resource administrative support to the Division of Health. Your work will ensure the smooth coordination of financial transactions, staff recruitment administration, facilities coordination, and day-to-day operational logistics across the Division.
This is a varied and collaborative role where you will work closely with academic and professional staff to support recruitment administration, purchasing and finance processes, facilities coordination, travel arrangements, and divisional events. You will also contribute to improving administrative systems by developing templates, procedures, and workflows that enhance efficiency and accuracy.
Salary will be in the range of $73,235 to $87,024 per year based on skills, knowledge and experience brought to the position. This is a full-time role (37.5 hours a week), based on our Hillcrest Campus.

You are an experienced administrator who thrives in a fast-paced environment and enjoys supporting operational and organisational processes that enable teams to succeed. You bring experience in financial, operational, or HR administration within a complex organisation, and you are confident working across multiple systems, processes, and stakeholders.
You will demonstrate:
- Strong experience in administrative coordination within a complex organisational environment
- Experience supporting finance processes, purchasing, reimbursements, and supplier coordination
- The ability to support recruitment administration and staff onboarding processes
- Excellent communication, organisational, and interpersonal skills
- High levels of accuracy, attention to detail, and data literacy
- Strong problem-solving and process improvement capability, including experience at automating processes and reviewing and changing workflows
- Advanced data literacy including the ability to use emerging technologies (including AI) to improve administrative processes
- The ability to work independently while contributing to a collaborative team environment
Experience in tertiary administration, or in developing templates and standard operating procedures (SOPs) to improve administrative efficiency, would be an advantage.

The Division offers programmes in Biomedical Sciences, Health Promotion, Healthy Active Living, Human Performance Science, Midwifery, Nursing, Pharmacy, and Sport Development and Coaching.
A key strategic priority is the development of the New Zealand Graduate School of Medicine, which will focus on advancing health equity through culturally responsive medical education, particularly for regional and rural communities
