This role manages all functions related to enrollment certifications, including third-party requests, degree verifications, and student enrollment/graduation reporting to the National Student Clearinghouse and NSLDS. It requires independent judgment to resolve processing issues and proactively identify solutions, while keeping leadership informed of emerging concerns.
The position contributes to strategic planning, compliance, performance improvement, data management, and reporting. It also supports emergency preparedness and serves as essential personnel for continuity of operations during emergencies.
Responsibilities
- Process daily enrollment verification requests for current students and third-party organizations, ensuring accuracy, timeliness, and compliance with institutional policies and the Family Educational Rights and Privacy Act (FERPA).
- Conduct degree verifications for students and alumni to support licensure and certification processes in accordance with university guidelines.
- Manage data reconciliation with the National Student Clearinghouse (NSC) and National Student Loan Data System (NSLDS), ensuring compliance with federal regulations and timely updates for current and former students.
- Respond to inquiries exercising sound judgment in resolving issues or escalating to appropriate personnel. Maintain collaborative relationships across the URO, SEM, and other departments to ensure high-quality service, and serve as back-up for official transcript release for the university.
- Safeguard the confidentiality of student records, ensuring all work complies with FERPA and related federal and state regulations. Educate others on the ethical and legal responsibilities of handling sensitive student data.
- Support the mission of Student Success, Strategic Enrollment Management, and the Office of the Registrar by assisting during peak periods, participating in professional development, contributing to procedural documentation, and serving on institutional committees at the discretion of the University Registrar.
Qualifications
This position requires a high school diploma or equivalent, with one year of experience in office, administrative, or academic/student services support positions. Appropriate college coursework or vocational/technical training may substitute at an equivalent rate for the required experience.
Preferred Qualifications: Proficiency with technology and strong interest in continuous skill development. Experience with student information systems (Ellucian Banner preferred), Microsoft Office, Windows, and data tools such as querying for business intelligence software. Demonstrated ability to communicate decisions confidently and professionally to students, staff, faculty, and administrators. Strong decision-making, problem-solving, organizational and research skills. Ability to manage multiple priorities in a fast-paced, deadline-driven environment while delivering exceptional customer service.
