Job Summary

This position performs budgetary functions for the University; maintains the overall University budget and assists departments on campus in monitoring their departmental budget; provides budget management oversight for all funds.

Responsibilities

  • Responsible for preparing and submitting budget amendments into the PeopleSoft Financials system and submitting quarterly budget amendments to the BOR through the online application. (30%)
  • Inputs budget amendments submitted by departments throughout the year to transfer funds from one area to another as needed.
  • Verifies funds are available as requested.
  • Runs query to determine amount amended during the quarter.
  • Reviews to ensure that the amendments are input into the correct categories in the system.
  • Reconciles the report to verify that the budget remains in balance between revenue and expenditures for each fund source.
  • Notifies Budget Manager of any operationally required amendments to the departmental budget.
  • Coordinates quarterly budget review of departmental and grant ledgers with budget managers. (20%)
  • Prepares certification letter to be signed by all budget managers along with the quarterly budget report for both revenue and expenditures.
  • Collects documents from the budget managers and scans and maintains them in an electronic file.
  • Answers any questions pertaining to the reports.
  • Prepares and monitors annual operating budget. (35%)
  • Enters data for all funds into Budget Prep module.
  • Reconciles revenue and expenses for each fund.
  • Maintains overall budget management for all funds.
  • Helps all Auxiliary Unit Heads to monitor and maintain their unit budgets.
  • Coordinates financial meetings with all auxiliary units and Budget & Finance periodically throughout the year.
  • Compiles and submits all annual reports/requests and ad hoc requests to BOR.
  • Provides budgetary report training for budget management personnel on campus. (10%)
  • Provides them with budget management training videos.
  • Provides one-on-one training if needed to show the new budget management personnel the reports needed to monitor budgets.
  • Help the budget management personnel to understand how to read the reports and interpret the data on the report.
  • Performs additional duties and tasks as assigned (5%)
  • Approves various MSS transactions in HCM e.g., supplemental pays, position detail changes, employee transfers, salary changes, etc.
  • Approves various transactions in PeopleSoft Financials e.g., budget journals, expense reports, travel authorizations, etc.
  • Approves various HR ServiceNow requests for the budgetary level.
  • Prepares budget data and presents at various meetings on campus.
  • Participates in various committees.
  • Create new departments and projects/grants.
  • Performs various analysis reports utilized by senior management.

Required Qualifications

  • Bachelor’s Degree
  • Minimum of 3 years budget/accounting experience
  • Experience with various network applications: MS Excel, MS Word, MS PowerPoint, Email, etc.

Preferred Qualifications

  • Experience with budget/accounting in a higher education environment
  • Bachelor’s degree in accounting or related field

  • Proficient in the use of Microsoft Office (Word, Excel, Outlook) and other relevant applications
  • Strong interpersonal, oral, and written communication skills.
  • Ability to work independently and as a part of a team depending on the requirements of the task.
