Position Summary

San Juan College is seeking a well-qualified and highly motivated individual for the position of Executive Projects and Strategic Planning Associate.
The position leads the development, implementation, and assessment of institution-wide goals, aligning academic and operational initiatives with the college mission. This role involves data analysis, stakeholder engagement, and tracking performance metrics to ensure accountability. This position is responsible for planning and organizing events, preparing presentations, and providing oversight of projects that support the President's initiatives and the San Juan College mission and vision.
Essential Responsibilities:
- Prepares reports, proposals, briefings, and presentations for the President with a high-degree of independence, initiative, and judgement, including materials related to institutional priorities, initiatives, and strategic planning progress.
- Conducts research (library, e-mail, web - i.e. Google searches and other data-gathering) to inform reports, proposals, briefing and presentations prepared for the President.
- Conducts and/or arranges college tours.
- Collaborates with multiple departments to create all college updates and SJC related announcements.
- Organizes and supports events for San Juan College as assigned by the President including, but not limited to, Grand Openings, SJC Board Events, Legislative committee meetings, and portions of the College's bi-annual convocations.
- Ensures that the vision and logistics for events are executed through the selection of appropriate venues, entertainment, menus, invitations and decorations. Coordinates deadlines, room needs, multimedia equipment, room setup and tear down and visuals that support the vision of the event.
- Ability to successfully plan, manage, and execute deadline-driven project, including projects tied to the institutional priorities and strategic initiatives and goals.
- Facilitates the creation of long-term strategic plans and annual unit plans, fostering a culture of high performance and innovation.
- Coordinates cross-functional teams and collaborates with community, business, and educational partners.
- Oversees initiatives from planning to completion, managing timelines, resources, and potential risks.
- Collects, analyzes, and reports on institutional data to monitor progress on goals and assess the effectiveness of strategies. Collaborates with senior leadership to align projects and initiatives with overall campus strategy and institutional goals.
- Develops and maintains project timelines, roadmaps, and schedules for strategic initiatives, including identifying milestones, dependencies, and critical success factors.
- Prepares and distributes progress reports, dashboards, and briefing materials related to strategic initiatives for senior leadership and relevant groups.
- Works collaboratively with leadership and project stakeholders to identify risks, barriers, and opportunities related to strategic initiatives and recommends solutions or adjustments as needed.
- Conducts regular reviews of project progress, monitors performance against established metrics or Key Performance Indicators, and assists leadership in making necessary adjustments.
- Communicates with all internal and external parties to ensure smooth execution of events and projects.
- Works with and assists in the preparation of press releases with the Public Relations and Marketing department.
- Creates timelines and schedules and maintains related records.
- Attends San Juan College or community events as needed, including some evenings and weekends.
- Performs related duties and projects as assigned.
Qualifications:
- Bachelor's degree required; Master's degree preferred.
- Prior experience in presentation preparation required.
- Prior event planning experience preferred.
- Prior experience successfully planning and managing projects preferred.
