Executive / Senior Executive (Academic Affairs)
Job Description
To provide key administrative support in end-to-end admissions process, from first contact to enrolment, to ensure Academic Affairs Department's objectives are met.
Main Role
- Provide administrative support in the processing of all student applications from submission to enrolment. All applications have to be processed in a timely manner and within the standards set by the University.
- Ensure smooth operation of all processes and the timely resolution of any arising issues.
Tasks
- Process applications and verify submitted documents.
- Follow up with applicants to ensure completeness of applications.
- Monitor admissions mailboxes and assist with applicants' queries.
- Provide weekly updates of applications.
- Prepare application dossiers and data for assessment.
- Coordinate with faculty and vendor on the assessment and interviews.
- Prepare and send offer letters.
- Monitor admissions acceptance status and ensure submission of all required supporting documents.
- Transfer students' records and dossiers to the Programme Unit.
- Prepare reports on admissions statistics.
- Provide support for admissions meetings, including secretariat duties.
Others
- Contribute to the achievement of student recruitment target.
- Provide support to Department's events such as student orientation.
- Undertake other duties as required.
Qualifications
- A good Bachelor's degree. A minimum of 2 years of relevant experience in academic and admission administration is preferred. Those with experience working with international students at a post-graduate level will be a bonus.
- Good IT skills, proficient with MS Office applications. Strong MS Excel skills are expected. Knowledge in VBA is advantageous.
- Familiarity with various systems such as Graduate Admission System, MS Teams and ZOOM.
- Strong organisational and planning skills, with the ability to manage multiple tasks and priorities.
- Good written and verbal communication skills, with the ability to interact with a diverse range of individuals.
- Fast learner with a positive work attitude who is comfortable working in a dynamic and constantly changing environment.
Note: The role requires support during peak admission periods, which requires flexibility to work unsocial hours, including evenings and weekends, occasionally.
