Program Description: Stanford University’s Jasper Ridge Biological Preserve ('Ootchamin 'Ooyakma) is located in the Santa Cruz Mountains, five miles southwest of the main campus. Covering 483 hectares (1,193 acres), it features diverse geological, topographic, and biological landscapes, serving as a research hub for global scientists and providing educational experiences for students and visitors. Jasper Ridge has a rich legacy of over 165 dissertations and theses, 335 publications, and more than 400 student papers. Stanford University and Jasper Ridge sit on the ancestral land of the Muwekma Ohlone Tribe. Position Summary: Jasper Ridge Biological Preserve ('Ootchamin 'Ooyakma) is seeking a Facilities and Operations Assistant. The Facilities and Operations Assistant will work under general supervision of the Operations Manager and must possess and demonstrate a positive outlook on continuous process improvement efforts while maintaining a team-based and customer-focused mindset. It is critical that this position exhibit the abilities to practice sound judgment and decision-making, effective written & oral communication, strong attention to detail and respectful relationship management. This position must also exhibit a strong desire to continuously learn new and unfamiliar business topics, policies and procedures as they relate to Facilities and Operations Assistant – the ability to translate this information into operational successes will be critical.

This is a 100% FTE, continuing position, non-exempt position. This position will be based at Jasper Ridge Biological Preserve of Stanford University.

CORE DUTIES:

  • Serve as property operations / maintenance point of contact for facilities' issues in assigned building(s), unit(s), lab(s); initiate work requests, monitor completion; coordinate and monitor routine maintenance services completion (trash, utilities, custodial, pest control, long term preservation, inspections, grounds, landscapes, alarms, systems & equipment).
  • Perform condition assessments on appearance, equipment, or troubleshooting (formulated by another group, FSM); implement preventive maintenance plan; coordinate & integrate utility usage/optimization (monitor usage, gather info, provide recommendations, follow-up, shutdown requirements); coordinate contract work, third party vendors.
  • Identify, recommend & implement building operations & process modifications to the facility for increased productivity and/or cost reduction; coordinate maintenance logistics (to avoid faculty conflicts, events).
  • Handle property administration by completing tagging, data entry and inventory; completing purchase orders, receiving; and completing record keeping, tracking, information gathering and support for space allocation decision makers.
  • Implement facility security programs by distributing keys, providing building access, monitoring access records, assessing security infrastructure needs (security cameras, interlocks, alarms); and assessing and changing access schedules.
  • Complete project coordination by: performing the assigned tasks within department projects; acting as a project coordinator/liaison; and overseeing and executing projects (limited to small, local projects), including their organization, scheduling, budgeting, and implementation.
  • Serve as safety management coordinator by correcting identified safety issues; tracking chemical inventory, disposal, hazardous waste; communicating and implementing disposal procedures in laboratory settings; conducting safetytraining and/or new employee facility orientation; and participating in emergency preparedness, recovery and business continuity coordination.
  • Coordinate communications services (network administration, desktop support, primary troubleshooting, and telephony liaison); provide updates, alerts, notifications to building occupants, including websites, phones; and oversee mailing services, shipping and delivery.
  • Coordinate space management and planning activities including: move coordination; space inventory; space allocation tracking; specifying set-ups; maximizing space utilization; providing input into facilities renewal model; and capital plan implementation (as assigned).
  • May conduct inventory and administer store supplies, as directed.
  • * Other duties may also be assigned.

EDUCATION AND EXPERIENCE:Associate degree and two years related, demonstrated facilities administration experience, or a combination of education and relevant experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Interpersonal skills, mature judgment required to interact effectively with a broad range of people, including faculty and vendors, both individually and in groups.
  • Ability to coordinate and manage multiple projects with competing priorities, meet deadlines and project plans with short- and long-term end dates.
  • Working knowledge of applications such as Excel, Word, PowerPoint, Project.
  • Experience working with internal and external vendors and services contracting.
  • Background knowledge of safe handling and disposal of chemicals and hazardous waste; emergency preparedness plans and their implementation; and property administration specific to PO tracking, receiving, and inventory control.

In addition, preferred requirements include:

  • Experience operating heavy equipment, including but not limited to loaders, flail mowers, and changing out PTO attachments.
  • Broad experience in the maintenance and repair of diesel engines and hydraulic systems.
  • Familiarity with operation and safety protocols when working with chainsaws, pole saws, chippers, hedgers, and line trimmers; experience in advanced arboriculture, particularly with large trees.
  • Well-rounded knowledge and experience in the maintenance and repair of 2-stroke and 4-stroke small engines.
  • Knowledge of electric cart maintenance, repair, and system diagnostics.
  • General knowledge of flora commonly found in the Santa Cruz foothill ecosystem and experience in identifying and controlling invasive species.
  • Experience in trail and road maintenance, including erosion control and seasonal vegetation management.
  • Experience assisting with researcher and educational logistics and previous work in an academic setting.
  • Extensive experience in electrical work, plumbing, and carpentry.

WORKING CONDITIONS:

  • Requires 24-hour response availability seven days per week for emergency situations.
  • May be exposed to noise > 80dB TWA.
  • May working at heights 4 - 10 ft.
  • Frequently stand/walk, sitting, grasp lightly/fine manipulation, perform desk-based computer tasks.
  • Occasionally use a telephone, writing by hand, lift/carry/push/pull objects that weigh up to 40 pounds.
  • Rarely sort/file paperwork or parts, lift/carry/push/pull objects that weigh >40 pounds.
  • Ability to use voice to present information/communicate with others.
  • On-campus mobility.
  • Mobility on rough trails and rough terrain with no trails.
  • May work extended hours, evenings or weekends.
  • May travel locally.
  • Occasional overnight travel.

The expected pay range for this position is $35.99 to $45.22 per hour.

Stanford University provides pay ranges representing its good faith estimate of the salary or hourly wage the university reasonably expects to pay for a position upon hire. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
