The LSA Facilities and Operations Department at the University of Michigan is searching for a Facilities Coordinator for the Biological Sciences Building. The primary responsibilities of this position include facilities maintenance, assisting with construction and renovation projects for labs and offices, coordinating office set-ups and equipment installations, performing administrative duties, and monitoring building custodial services. We seek an individual who demonstrates commitment to high-quality customer service to faculty, students, and staff and the ability to manage multiple projects independently.
Work Management Ticketing System
LSA Facilities and Operations requests are managed through the TeamDynamix work management system. Your responsibility will include ensuring a customer-first response to all incoming requests, including scheduling, follow-up, and closure of requests in a timely and efficient manner.
Facilities Maintenance
Conduct building walkthroughs to determine maintenance issues and opportunities for facilities improvements. Issue work orders, process purchase orders. Track work orders using the AiM system. Work closely with central Facilities and Operations service units and LSA FO in the oversight and coordination of building maintenance, housekeeping, security, and grounds. Work with the Museum of Natural History staff and security to help maintain the public-facing portion of the building.
Construction and Renovation
Collaborate with the BSB Building Manager in the oversight and coordination of Construction Services and outside contractors to ensure construction does not interfere with departmental activities. Monitor construction project schedules and communicate construction impacts to faculty, staff, and students in the building. Facilitate solutions to potential construction impacts.
Furnishings and Equipment
Partner with LSA movers to complete work in the building. Coordinate property disposition runs, track equipment inventory, and conduct general office moving needs. Work with vendors to track warranty issues and repairs. Specify and order furniture, oversee, and coordinate activation activities. Assist with the bi-annual property inventory. Maintain research equipment or coordinate repairs when necessary.
Administration and Operations
Coordinate different aspects of departmental moves. Facilitate the Building Incident Response Team (B.I.R.T.) Attend facilities-related group meetings (FUN, CSPIT). Collaborate with event organizers to advise them of facility usage and set up, and move furniture for departmental events, issue work requests, process purchase orders, and ITCom orders as needed. Deliver packages and mail throughout the building daily. Work within the Ccure system and track building access. Maintain records related to facilities expenses, service activities, maintenance schedules, and operational support functions.
Building (Custodial) Services
Monitor custodial services and communicate deficiencies to custodial supervisors for action. Coordinate requests for additional custodial services needed for special events.
- The successful candidate will have two to three years of experience in facilities, maintenance and or Operations.
- Exemplary customer service skills, with effective communication to work with all levels of stakeholders
- Demonstrated ability to manage multiple projects independently with minimal direction or supervision
- Essential functions include moving, installing, and configuring furniture and equipment. Requires the ability to frequently adjust position and maneuver items safely within confined or tight spaces.
- Carpentry and installation skills required.
- Bachelor of Science in a facilities-related field - Engineering, Architecture, Facilities Management, Construction Management, or certification in Project Management
- Working knowledge of the University organization, policies, and procedures.
