Financial Aid Supervisor
JOB SUMMARY
Responsible for managing a group of financial aid associates that process and review student financial aid application records that are assigned by caseload and are distributed through an automated workflow process.
A small caseload will be maintained in which a variety of tasks and duties are required to ensure eligibility and receipt of federal, state and institutional aid programs.
Responsible for training, monitoring, and resolving questions or complex issues.
ESSENTIAL FUNCTIONS
Oversee the work completed assigned staff and monitor workflows to ensure timely processing and distribution, meeting regulatory requirements, and providing outstanding customer service.
Collaborate with the Director of Financial Aid Customer Service and Processing to develop and conduct training for assigned staff to ensure a strong understanding of the processing requirements.
Work with the Director of Financial Aid Customer Service and Processing to create efficiencies and resolve problems; Serve as a liaison between the Campus Customer Service Coordinators, FA Assistants and the FA Associates to provide students with timely answers to processing questions.
Assist with escalated student calls regarding file status and awards and to campus staff requests for file review and processing.
Manage a case load of student records for file review, verification, reconciliation, ensuring eligibility, and updating information.
Caseload management records include summer aid processing, CPS selected records, institutional selected records, revision requests, C-Code resolutions, NSLDS reviews, R2T4 calculations and returns, over-awards, packaging adjustments, student loan processing, managing suspense records, resolving conflicting or discrepant information, and working records in assigned workflow in a timely manner; Perform need analysis and packaging using Federal Methodology to determine students eligibility for federal, state and institutional loans, grants, scholarships and student employment programs.
Counsel students and parents on file completion requirements.
Establish partnerships with lenders and guarantee agencies, Social Security Administration, Selective Service Administration, Internal Revenue Service and the Immigration and Naturalization Service to resolve discrepancies on behalf of students; Participate in developing and implementing retention strategies to support enrollment management, default management strategies and alternative source funding to meet student financial need.
Enforce regulatory standards in compliance with Federal, State and Institutional requirements.
Comply with and adhere to local, state and federal laws, policies and procedures, including but not limited to: FERPA, FTC Red Flag Rules, Gramm-Leach-Bliley, HIPPA, Federal Financial Aid Consumer Information Laws, and the Ethical and Code of Conduct.
Monitor R2T4 compliance requirements and audit records on a monthly basis and complete discrepancy reports as needed or requested.
Perform other duties, tasks and assignments as required.
QUALIFICATIONS
Education & Experience
- Bachelors degree required
- 4 years working in a financial aid office required
Licensing & Certification

Working Conditions
General Office. Must be able to perform all job requirements with or without reasonable accommodations; remain in a stationary position during shift; move items weighing up to 25 pounds; position self to operate job equipment; apply established protocols in a timely manner. Must access, input and retrieve information from technology devices; communicate with others to accomplish job requirements. May be required to work after hours to include weekends and holidays.
