The starting annual salary range is $64,819 – $87,697 for a 248-day schedule, plus comprehensive benefits.
Job Summary:
Administers and analyzes all aspects of financial aid technical processes. Works in collaboration with key service areas to administer and analyze the functionality and operational efficiency of digital financial aid-related resources across the college. Reviews, tests, and assists with documentation and training of relevant components of the Ellucian Higher Education Banner student information system. Responsible for internal management and coordination of financial aid data and reporting. Serve as the primary resource for generating the research and statistics necessary for financial aid and veterans assessment projects. Updates and maintains Banner records for yearly processing, loads Institutional Student Information Records, and initial process of student records, creates and maintains communication processes.
Essential Duties:
25% Banner System Administration & Configuration
Supports the maximized utilization of the Banner system in the areas of financial aid, veterans’ services, and related student services. Reviews Banner documentation to recommend new features and process enhancements for users, and resolve functionality issues. Researches Banner defects, enhancements, and requests for product Banner System Administration & Configuration
Supports the maximized utilization of the Banner system in the areas of financial aid, veterans’ services, and related student services. Researches Banner defects, enhancements, and requests for product enhancements. Collaborates with Information Services for system upgrade testing protocols. Responsible for setting up new year processes in Banner for the processing of federal, state, and institutional funds (grants, loans, and scholarships) totaling up to $20 million. Responsible for establishing tracking, packaging, awarding, and disbursement rules and procedures.
Manages the implementation, configuration, and ongoing support of financial aid systems and platforms. Oversees the installation, integration, and maintenance of U.S. Department of Education software and related tools to ensure seamless data exchange with the institution’s ERP system (Banner).
Performs data modeling and configuration of Financial Aid and Veterans system parameters to support accurate processing and reporting. Develops, maintains, and validates annual audit reports to ensure data integrity, regulatory compliance, and institutional accountability.
25% Technical Support, Troubleshooting & Process Documentation
Provides technical guidance and support for Financial Aid and Veterans operations, serving as a subject matter expert in system functionality, data analysis, and reporting. Troubleshoots and resolves technical issues, develops data extracts and analytical reports, and offers strategic insight to improve system efficiency. Delivers training and functional guidance to departmental staff and develops comprehensive technical and process documentation to support consistent and compliant system use.
Collaborates with financial aid and veterans staff to analyze, evaluate, and optimize business processes, data entry practices, coding standards, and workflow efficiencies. Assists in maintaining data integrity by reviewing system inputs and making corrections as necessary to ensure compliance with institutional and regulatory requirements.
25% Reporting, Data Analytics & Decision Support
Coordinates with Information Services to develop and maintain ad hoc and scheduled reporting to support financial aid operations and compliance.
Designs, develops, and maintains ad hoc and scheduled data reports to support institutional goals, strategic initiatives, and compliance requirements. Collaborates with Institutional Research and Information Services to ensure data accuracy and consistency. Translates complex financial aid data and system outputs into clear, actionable insights to support informed decision-making by college leadership.
10% Regulatory Compliance & System Alignment
Monitors and interprets changes to federal and state financial aid regulations through ongoing training and professional development. Collaborates with the Director to implement regulatory updates into departmental policies and procedures. Updates and configures Financial Aid and Veterans systems to ensure alignment with current compliance requirements and institutional practices.
Develops, maintains, and validates annual audit reports to ensure data integrity, regulatory compliance, and institutional accountability.
10% Technology Innovation, Integration & Institutional Collaboration
Researches, evaluates, and recommends new technologies, software solutions, and third-party services that support the operational needs of the Financial Aid and Veterans Services ecosystem. Collaborates with Information Services to develop institution-specific system functionality and integrations. Partners with department staff to design, implement, and maintain in-house web-based tools to enhance service delivery and operational efficiency.
Serves on appropriate committees and other related project teams.
5% Other duties as assigned.
Physical Requirements and Working Conditions:
Work is performed primarily in an office setting with minimal exposure to health or safety hazards. Work pressures, frequent interruptions, and disturbances of workflow, are expected and occur on a regular basis. The incumbent is required to manage a variety of projects simultaneously. Technological changes require occasional skill level upgrades. Considerable time is spent working on the computer. There is infrequent (less than 10 percent of the time) lifting of medium to lightweight objects (less than 50 pounds) while moving boxes of materials or hardware. Must be able to use a computer and communicate effectively with a wide variety of individuals.
Education and Experience
Education: Position requires a Bachelor’s degree in Information Technology, Accounting, Finance, Business Administration, or a related field. Additional related experience may substitute for the educational requirement on a year for year basis.
Experience: Position requires experience equivalent to two years full-time, showing progressive responsibility in financial aid (Title IV Programs), accounting or auditing, which includes working with federal programs and reporting requirements. Experience working in governmental accounting, coordinating and overseeing complex financial projects and audits, working with computer systems, hardware, and supporting software applications, and with computerized general ledgers and accounting systems is required.
Knowledge, Skills and Abilities
Knowledge and Skills: Requires knowledge of desktop and cloud applications. Requires college-level writing skills and strong communication skills. Must have the ability to train end-users in new software or procedures. Requires sufficient analytical skills to assess problems or novel situations and develop solutions. Must be skilled in reading documentation and regulations, and translating information into meaningful and applicable content for non-technical staff. Requires knowledge of integrated database systems
Abilities: Must be able to perform the duties of the position efficiently and effectively independently. Requires the ability to work in a group environment. Must be able to prioritize and plan work in order to perform in a frequently fast-paced environment. Must be able to effectively communicate with a wide range of staff in a professional manner.
