Description of Job Duties and Responsibilities
The position is responsible for ensuring the compliant and efficient administration of federal, state, and institutional financial aid programs, with a focus on accuracy, timeliness, and adherence to federal regulations and institutional policies. This position requires independent judgment, attention to detail, and the ability to collaborate across multiple departments to support students and safeguard institutional compliance.
Duties and Responsibilities:
- Exercise independent judgement in managing the daily import and export of federal financial aid records, including analyzing and resolving edit reports to ensure the accurate processing of Title IV funds.
- Support the Director of Financial Aid in the annual setup and maintenance of the Banner Financial Aid System. Independently test and validate system processes to ensure accuracy and efficiency.
- Run daily processes which include tracking, student budgeting, awarding in alignment with institutional policy.
- Administer the processing of Master Promissory Notes (MPNs) and Entrance Loan Counseling through Banner and EdConnect, ensuring Department of Education records are accurately matched to institutional student records.
- Evaluate and resolve student eligibility discrepancies for Title IV funds both prior to and after disbursement to ensure compliance with federal, state, and institutional requirements.
- Report all federal grant and loan disbursements to the U.S. Department of Education and reconcile accounts with the Finance Office to confirm that funds are appropriately disbursed to students, the Department of Education, and the institution.
- Ensure accuracy of communications containing sensitive, individualized student information, in compliance with FERPA regulations.
- Partner with Information Technology staff to design, implement, and refine automated processes that improve efficiency and data accuracy.
- Test and resolve system issues related to Banner upgrades and process enhancements to maintain compliance and streamline operations.
- Maintain expert-level knowledge of all applicable federal, state, and institutional regulations and policies.
- Independently calculate and process Return of Title IV funds (R2T4) in compliance with federal regulations.
- Perform additional professional duties as assigned to support the mission and operations of the Financial Aid Office.
