About the Role
Dunwoody College of Technology is seeking a detail-oriented, highly organized Gift & Data Coordinator to join our Institutional Advancement (IA) team. IA is the driver of philanthropy and alumni engagement for Dunwoody. This essential role ensures accurate gift processing, proactive data management, and seamless financial reconciliation to optimize fundraising outcomes, deepen alumni relations, and strengthen donor stewardship.
What You’ll Do
Gift Administration & Financial Reconciliation
- Process all gifts and commitments (cash, checks, credit cards, stock, IRA transfers, planned gifts, event registrations, payroll deductions, etc.) in accordance with IRS, CASE, and internal guidelines.
- Review gift documentation to ensure accurate coding and clarify donor intent as needed.
- Generate and distribute tax receipts, acknowledgments, tribute/memorial notifications, pledge reminders, and year-end statements.
- Maintain acknowledgment templates and collaborate with Donor & Alumni Relations on messaging updates.
- Produce standard gift reports and reconcile fundraising revenue with Accounting.
- Support audit preparation by providing documentation and gift backup materials.
Data Management & Quality
- Enter and update donor, prospect, and alumni records in the database.
- Maintain data integrity through routine maintenance, duplicate resolution, address updates, and deceased record processing.
- Document and improve data policies, processes, and procedures.
- Proactively learn and leverage Raiser’s Edge NXT and related tools.
- Support staff training on database policies and best practices.
- Ensure secure handling of confidential and sensitive information.
Operations & Team Collaboration
- Maintain electronic and hard-copy filing systems in compliance with data management policies.
- Support event registration setup and tracking in partnership with Alumni Relations.
- Assist with IA events, including occasional evening or off-campus events.
- Prepare small mailings and order IA mailing supplies.
- Serve as an ambassador for the College’s mission and core values.
What You Bring
- Minimum 2 years of experience in a nonprofit or data-focused professional role.
- Strong database skills (Raiser’s Edge NXT preferred).
- Proficiency in Microsoft 365.
- Exceptional attention to detail and organizational skills.
- Ability to prioritize and manage multiple tasks effectively.
- Strong written and verbal communication skills.
- Professional discretion when handling confidential information.
- A proactive, solutions-focused mindset with strong follow-through.
- Flexibility to work select evenings as needed.

Work Environment
Dunwoody supports a hybrid work environment. This position currently requires three days per week on-site, with flexibility based on team needs.
