Supervisor: Director of Admissions/ Director of Enrollment Management Operations/ Associate Director of Admissions

  • Hours per week: 20 hours a week
  • Stipend/Benefits: Tuition waived up to 24 credits & a $1000 stipend for the academic year

Role Summary

The Graduate Assistant will provide administrative support to the Office of Undergraduate Admissions and Office of Enrollment. This role is designed to provide the student with professional experience in a higher education setting while supporting the operational goals of the department. The Communications/CRM Graduate Assistant supports the Office of Undergraduate Admissions and Office of Enrollment by managing and executing targeted communications, assisting with data management and reporting, and providing support for office operations and events. This fast-paced role offers hands-on experience with Slate by Technolutions (the College's Enrollment CRM) and opportunities to develop leadership, communication, and project management skills in a dynamic admissions environment.

Qualifications

Primary Responsibilities

  • Utilize Slate (Enrollment CRM) to access student records, build queries, and extract data to support admissions and communications initiatives.
  • Develop, execute, and manage targeted queries in Slate to support data reporting, email campaigns, and SMS communications.
  • Build, test, and deploy email and text message communications within Slate, ensuring accuracy and effectiveness.
  • Extract and analyze prospective student data to support calling campaigns (e.g., Open House, Accepted Student Day, faculty outreach, and parent engagement initiatives).
  • Prepare and manage prospective student data for mass communications, including filtering, sorting, and organizing datasets for external print vendors (e.g., postcards, invitations, and travel pieces).
  • Collaborate with Enrollment Operations and Admissions staff to manage and maintain the Undergraduate Admissions master communication plan calendar, including strategic scheduling of outreach efforts.
  • Train Admissions Ambassadors on basic Slate functions, including running queries to support timely processing of acceptance and deposit mailings.
  • Assist in the coordination and execution of admissions events within the CRM system, including Open Houses, Accepted Student events, Preview Days, Falcon for a Day programs, and campus tour sessions (weekday, Saturday, and group tours).
  • Provide backup support for the main Admissions phone line, directing inquiries to appropriate offices and delivering excellent customer service.
  • Support general administrative operations, including mailings, filing, and other office tasks as needed
  • Deliver exceptional customer service to prospective students, families, and campus partners
  • Represent the College at high schools and college fairs, independently or alongside Admissions Counselors, through presentations and outreach activities, when needed.
  • Perform additional duties as assigned by the Director of Admissions and Director of Enrollment Operations.

Physical Requirements

  • Ability to remain seated for extended periods of time while performing administrative tasks.
  • Ability to occasionally lift and move materials weighing approximately 15-30 pounds.

Eligibility & Requirements

  • Enrollment: Must be currently accepted in a Master program at Albertus Magnus College in one of the following areas:
    1. Accounting (only two spots available)
    2. Business Administration
    3. Criminal Justice
    4. Management and Organizational Leadership
    5. Healthcare Administration (only two spots available)
  • Valid Driver's License

Skills

  • Strong written and verbal communication skills, as well as strong interpersonal skills.
  • Strong computer skills and proficiency in Microsoft Office Suite, Google Suite, GroupMe, and Social Media Channels such as Facebook, Instagram, and TikTok; willingness to learn and adapt to new software/technology.
  • Excellent communication, organization and time management skills.
  • Innovative thinking, able to think outside of the box and present ideas to Admissions leadership.
  • Adaptable to change; able to work independently or with a team confidently on projects.
  • Highly professional, has good judgment, and is willing to take the initiative.
  • Ability to multitask and work gracefully under pressure.
  • Takes pride in work to ensure the task is completed within a reasonable time frame and accurately.

  • Project Management & Organization: Learn to manage multiple projects simultaneously, prioritize tasks, and ensure accurate and timely execution of communications and events.
  • Leadership & Training: Strengthen mentoring and leadership skills by training Admissions Ambassadors on CRM systems, communication workflows, and office procedures.
  • Event Coordination Experience: Gain practical experience assisting with the planning and execution of admissions events, campus tours, and outreach programs.
  • Customer Service & Professional Communication: Enhance interpersonal skills by interacting with prospective students, families, campus staff, and external partners in professional settings.
  • Public Speaking & Presentation Skills: Build confidence in delivering presentations and representing the College at high schools, college fairs, and recruitment events.
  • Strategic Thinking & Problem-Solving: Learn to apply critical thinking when planning communications, scheduling outreach, and coordinating logistics.
  • Adaptability & Team Collaboration: Develop the ability to work in a dynamic team environment, adapt to shifting priorities, and contribute to office-wide goals.

Work Schedule Requirements

  • Monday - Thursday in-office shifts, between the time frame of 9:30 am - 4:30 pm, with 15-30-minute lunch break.
  • Some evening and weekend hours will be required.
  • 20 hours per week
