Position Summary
This position is responsible for the effective coordination of the Biochemistry and Molecular Biology Graduate program within the Franklin College of Arts & Sciences. The Graduate Program Professional position is a mid-level position with the opportunity for growth. This position is expected to interact with approximately 80-90 Graduate students within the Department of Biochemistry and Molecular Biology.
Knowledge, Skills, Abilities and/or Competencies
Excellent interpersonal skills, professional demeanor, self motivation, experience in a diverse environment and the ability to multi-task. In addition, considerable knowledge of Graduate School policies and procedures is required. The ability to create and maintain complex databases, maintain accurate records, assemble and organize data and to prepare reports.
Duties/Responsibilities
Graduate Affairs Administration (30%)
- Inform current graduate students of Graduate School policies and procedures.
- Inform current graduate students of departmental requirements for MS and PhD programs.
- Coordinate comprehensive exam oral defenses, MS thesis defenses and PhD defenses.
- Maintain database of current students containing all pertinent academic information.
- Maintain alumni database.
- Departmental liaison with Admissions, Graduate School, International Programs, and the Franklin College of Arts and Sciences business/dean’s office.
- Collect and submit Graduate School travel award applications for interested graduate students.
- Ensure departmental and graduate school deadlines are met by tracking graduate student degree progress.
- Create 7000/9000 course sections in Banner, clear advising flags, and assist students with course registration as needed.
- Maintain student directory on website.
- Prepare and submit to Franklin Works hiring proposals, terminations, and all payroll information each semester for all students and Teaching/Lab assistants.
- Process and manage various forms through GradStatus.
- Provide specific graduate student performance data to graduate coordinator to complete NIH surveys and other annual reviews.
Teaching Assistant Position Management (30%)
- Actively recruit eligible graduate teaching assistants from extra departmental sources.
- Screen interested teaching and lab assistant candidates for eligibility and direct them through application process.
- Ensure teaching and lab assistants adhere to university and departmental requirements.
- Work closely with designated Payroll Manager for Biochemistry and Molecular Biology.
- Assist Graduate Coordinator with matching graduate teaching and lab assistants to departmental staffing needs.
Graduate Admissions Coordination (20%)
- Review documents for completeness.
- Translate grades from US and international academic systems into a 4.0 GPA scale.
- Create and maintain applicant databases and spreadsheets.
- Schedule and coordinate applicant interviews with admissions committee.
- Implement changes in departmental admission procedures and policies.
- Complete admission and denial notices.
- Compose offer letters and prepare contracts for GTA, GLA, GRA and fellowship recipients.
- Inform committee on graduate school and departmental regulations.
- Participate in ILS recruitment weeks.
General Departmental Support (20%)
- Serve as backup to the Administrative Specialist.
- Perform tasks and assignments as instructed by the office manager or departmental leadership.
- Support the faculty and provide customer service or refer to appropriate staff.
- Assist the department Head, faculty and other staff to coordinate with college and university facilities staff.
