Job Description

The Graduate Student Affairs Coordinator is a member of a team that supports Graduate Program students and visiting researchers in their academic, student life, and co-curricular pursuits and provides assistance to other members of the Graduate Program and International Legal Studies department as needed.

As a Graduate Student Affairs Coordinator, you will:

  • Maintain student records and administer degree voting process
  • Monitor and report on progress of Doctor of Juridical Science (S.J.D.) candidates toward degree requirements
  • Communicate with students, faculty, and other administrators about student status
  • Plan, execute, and advertise weekly colloquia, meetings, examinations, and other student events
  • Share responsibility for planning and executing orientation programming and other complex events for LL.M., S.J.D., and exchange students and visitors
  • Maintain department and S.J.D. student web pages and informational materials and course pages for fellowship roles, colloquia, and other events
  • Administer department financial processing, including reimbursements and vendor payments, and hiring and payroll processing for Graduate Program fellows
  • Provide guidance and logistical support to Graduate Program Fellows on event planning
  • Manage S.J.D. office space; serve as a first point of contact for students, staff, and visitors; and share office management and primary front desk responsibility for the Graduate Program and International Legal Studies Department
  • Assist with admissions-related projects, as needed, during applicable season
  • Keep current on and relay Harvard and HLS policies and procedures for student events; collaborate with the Administration and Student Affairs Coordinator to advise student leaders and Graduate Program Fellows on logistics and event planning
  • Serve as an IT point person and identify and implement technological initiatives and process improvements
  • Perform other duties as assigned

Qualifications

Basic Qualifications

Three or more years of experience in office administration or related field (business environment and/or customer service). Education beyond high school may count toward experience.

Additional Qualifications and Skills

We are looking for people who:

  • Have proficiency with Microsoft Office, Adobe Professional, Canvas, and web publishing tools
  • Demonstrate effective writing, communication, interpersonal, time management, research, and project management skills
  • Have experience and enjoy working with a culturally and geographically diverse population
  • Can work both independently with minimal supervision and as part of a small team
  • Build and foster an internal culture of positive collegiality
  • Take initiative, anticipate needs, and consistently demonstrate good judgment and creative problem-solving
  • Consistently go above and beyond the call of duty to ensure smooth teamwork and an excellent student experience and provide responsive and detail-oriented support in a high-volume, service-driven environment
  • Seek out and learn new technologies
  • Can handle complex and confidential matters with discretion and maturity
  • Experience in an academic setting is helpful, as is experience with event planning and website maintenance

Additional Information

Standard Hours/Schedule: 35 hours per week; Full-Time, M-F. Overtime and evening work required periodically and during designated times of the year.

Work Format Details

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
