The Department of Geography is seeking an experienced and motivated Head of Department's Office Administrator to provide comprehensive support to the Head of Department (HoD) and contribute to the efficient day-to-day running of the Department.

The postholder will manage the Head of Department's office on a daily basis, including maintaining a busy diary, arranging meetings and appointments, preparing correspondence and reports (often of a confidential nature), and responding to a wide range of queries with professionalism and discretion.

The postholder works with the HoD to manage committee membership, academic induction, mentoring, probation and sabbaticals. The role also involves finding and analysing information to support decision-making, as well as liaising closely with the Business Operations Manager (BOM), Assistant Departmental Administrator (ADA), academic and professional services staff, other University offices such as the Academic Division and School of Physical Sciences, and external bodies.

In addition to supporting the HoD, the post holder will undertake specific duties that contribute to the wider work of the Department, including co-ordination of committee memberships and other positions of responsibility; administration of the Department's Visiting Scholar programme and academic travel fund, and oversight of the General Office.

We are looking for a flexible and reliable team player with excellent communication and interpersonal skills. The successful candidate should be highly organised, able to prioritise their workload and capable of working to tight deadlines, as well as having the ability to handle sensitive and confidential material appropriately. The role requires accuracy, attention to detail, and the ability to work both independently and collaboratively. Excellent IT skills MS Office (Word, Outlook, Teams, Excel, SharePoint) and HND, HNC, level 4/5 vocational qualification or equivalent level of practical experience, are essential.

Experience of committee work, with the ability to draft agendas and papers, to minute formal meetings and manage resulting actions, as well as experience of working in an administrative capacity in an academic environment, would be an advantage.
