Inventory Clerk
Tennessee State University Department of Planning, Construction, Operations and Facilities Maintenance invites applications for the position of Inventory Clerk.
The Inventory Clerk – PDC, Facilities & Campus Operations supports planning, construction, and facility maintenance by maintaining accurate inventory records, tracking and staging project materials, and performing basic quality-control checks to ensure items meet specifications. This role assists construction project managers by verifying material deliveries, supporting routine field inspections, documenting deficiencies, identifying visible defects, and following established testing procedures. The position also coordinates with Facilities and contractor staff to ensure materials, tools, and equipment are properly stored, tagged, and available for upcoming project phases, while maintaining the documentation required for quality and compliance.
Essential Position Functions:
- Maintain accurate, real-time inventory of facilities materials, supplies, equipment, and project-related items.
- Receive, label, store, and organize materials; track usage for work orders, repairs, and construction projects.
- Stage and distribute materials for campus work orders, renovations, and project activities.
- Inspect, test, or measure incoming and stored materials to ensure they meet specifications; document and remove nonconforming items.
- Record inventory, inspection, and quality-control data in digital tracking systems; support reporting and audit requirements.
- Assist with asset tagging, surplus processing, and compliance with TSU and State of Tennessee property guidelines.
- Maintain safe, orderly, and compliant storage areas, ensuring adherence to environmental and safety procedures.
- Collaborate with Facilities staff and Project Managers to support project readiness and improve material-handling processes.
Quality Assurance and Control:
- Plan and direct quality assurance programs to ensure the delivery of high-quality products.
- Formulate and implement quality control policies and procedures.
- Monitor performance of quality control systems to ensure the efficiency and effectiveness of testing methods.
- Review and update standard operating procedures (SOPs) and quality assurance manuals.
- Stop production if serious product defects are detected and initiate corrective actions.
Inspection and Testing:
- Verify that raw materials, purchased components, in-process samples, and finished products meet established testing and inspection standards.
- Direct product testing activities throughout the production cycle.
- Identify critical points in the manufacturing process and specify appropriate sampling procedures.
- Collect and analyze production samples to evaluate product quality.
- Create and implement testing criteria and procedures, documenting testing methodologies and outcomes.
Reporting and Documentation:
- Produce reports on product nonconformance, root cause analyses, and quality trends.
- Review and approve quality plans submitted by contractors or vendors.
- Maintain quality control records and prepare documentation for regulatory submissions and inspections.
- Communicate quality control data and results to relevant organizational departments, suppliers, or external contractors.
