IOI Operations Administrator

The Ineos Oxford Institute for Antimicrobial Research (IOI) is a leading biomedical research centre within the University of Oxford dedicated to addressing the global challenge of antimicrobial resistance (AMR). Our work spans drug discovery and development, global AMR surveillance, and digital microbiology to understand bacterial evolution.

We are seeking an experienced and proactive Operations Administrator to provide comprehensive administrative support to the operations and research teams within the Institute. Reporting to the Programme Manager within the Administration and Operations team, you will support the IOI Director and the Head of Administration and Finance in ensuring the smooth day-to-day running of the Institute and adherence to University and departmental procedures.

This post is fixed term for 3 years.

This varied role involves coordinating administrative processes across the Institute, providing proactive support to the IOI Director, including diary coordination and meeting preparation, and acting as a key point of contact for colleagues and external collaborators. You will help organise meetings, events, travel and visitor arrangements, as well as provide advice and guidance on administrative processes in line with University policies.

The post holder will contribute to the effective delivery of administrative services by supporting the development and improvement of systems and processes, analysing and presenting data to support operational decision-making, and producing formal documentation such as reports, committee papers and internal briefings. The role will also include supporting financial processes, assisting with budget monitoring and preparation, and coordinating governance activities such as committee meetings and follow-up actions.

You will work closely with colleagues across the Institute and the wider University, helping to build strong professional relationships and contributing to networks and initiatives that support continuous improvement in administrative services.

This role would suit an organised and motivated individual who enjoys working in a collaborative research environment and is comfortable managing a varied workload with competing priorities.

Flexible working is supported, and the post holder may work on a hybrid basis by agreement with their line manager.

Requirements:

  • Strong organisational skills and the ability to manage a complex and dynamic workload independently while reprioritising tasks as needed.
  • Proven experience of managing administrative processes and resolving issues with minimal supervision, together with excellent attention to detail and accuracy.
  • Clear and confident written and verbal communication skills and the ability to effectively support colleagues and stakeholders.
  • Ability to build professional relationships with a wide range of internal and external stakeholders and to work collaboratively as part of a team.
  • Strong IT skills, including proficiency in Microsoft Office applications such as Word, Excel, PowerPoint and Outlook.
  • Commitment to supporting an inclusive research culture aligned with best practice in Equality, Diversity and Inclusion.

Experience providing PA support, working within a large organisation or academic environment, coordinating events, or using financial systems would be an advantage.
