Kōrero mō te tūranga - About the role
Te Herenga Waka - Victoria University of Wellington is currently recruiting for a Kairuruku Kaupapa Kura - School Projects Coordinator to support the Tumuaki - Head of School and Te Kura Kāwanatanga - School of Government (SoG), in delivering a range of strategic, operational, and programme‑based initiatives.
This 12‑month, fixed‑term, full‑time role is dynamic and combines project coordination, academic programme support, stakeholder engagement, and the delivery of high‑quality communications and events.
You will help maintain momentum across Masters programme operations, programme refresh processes, School‑level projects, small events, and external engagement activities. Working closely with the Tumuaki - Head of School and programme directors you will ensure that planning is clear, documentation is accurate and timely, and activities run smoothly.
This role is ideal for someone who enjoys variety, works confidently with complexity, and is motivated by contributing to the School's forward direction.
Key responsibilities:
- Coordinate strategic School projects and workstreams, managing timelines, actions, risks, and clear documentation to support effective decision‑making.
- Deliver high‑quality event and engagement coordination for School activities such as roundtables, workshops, anniversaries, advisory groups, publications and visitor programmes.
- Support academic programme operations and refresh processes, including committee papers, scheduling, approvals, recruitment/onboarding tasks, and analysis of programme and student data to inform planning.
- Provide proactive administrative and operational support to the Tumuaki - Head of School, maintaining accurate records, workflow tracking, correspondence, and related financial processes to ensure smooth, well‑organised operations.

You will be a proactive, organised, and relationship‑focused professional who enjoys balancing detail with the bigger picture. You bring excellent communication skills, sound judgement, and the ability to keep multiple workstreams on track. You will be comfortable working with data and systems to support programme operations, and you take pride in creating seamless experiences for staff, students, and stakeholders.
You will also value collaboration, cultural awareness, and service excellence, contributing positively to the School’s culture and broader aspirations.
Key requirements:
- Experience in project coordination, ideally in a tertiary environment, event/engagement management, or complex administrative roles.
- Strong organisational skills and the ability to manage multiple priorities and deadlines effectively.
- Excellent communication skills, including document preparation, briefs, and correspondence.
- High level of digital capability, including Microsoft 365 office suite and collaboration tools (SharePoint/Teams).
- Ability to work independently with sound judgement and attention to detail, alongside a commitment to equity, diversity, inclusion, and Te Tiriti o Waitangi obligations.
