Stephenson Cancer Center is Oklahoma's only National Cancer Institute (NCI)-Designated Cancer Center, and one of only 73 NCI-Designated Cancer Centers in the United States. It is the Proposal Services Team's goal to provide the best customer service and support for the SCC's Cancer Researchers. A hybrid work schedule to include in-office as well as virtual work hours is negotiable depending on the experience of the candidate. Remote work candidates will be considered however.
At the Stephenson Cancer Center, we have an exciting new job opportunity that could be right for you! The Lead Proposal Services Coordinator will work as a part of the Stephenson Cancer Center's Proposal Services Team. This position independently provides excellent administrative support to a state or national level sponsored grant or contract program by coordinating grant application submissions, attending meetings, prioritizing tasks, distributing information, and acting as a liaison between the faculty and central offices for required university approvals. This position provides upper-level research program management duties and requires a deep understanding of research administration concepts, guidelines and principles. The position will work closely with the Proposal Services Manager and the Director of Cancer Research and assist the team in achieving team goals and the SCC's mission.
Duties:
- Provides excellent customer service to Cancer Research faculty members.
- Acts as a project manager to coordinate large, complex or multi-PI grant submissions. Provides schedules and guides to faculty and recruits teams for proposal parts to ensure a timely grant submission.
- Works closely with researchers and other staff members to coordinate application documents and submit compliant proposal applications.
- Reviews and analyzes complex funding announcements and has a proficient understanding of the uniform guidance to develop budgets in accordance with sponsor and university guidelines.
- Ability to organize and manage schedules to successfully meet multiple conflicting deadlines and apply self-disciplined to meeting incremental milestones.
- Provides timely responses and answers questions about the grant and the progress of the grant applications.
- Track and maintain status updates to report to management on activities of the Proposal Services Team.
- Provide mentorship to new proposal services coordinators and researchers; and assist in developing new tools and learning guides to help other advance research administration understanding.
- Keeps abreast of changes in Research Administration field, including changes made to federal regulations and specific agency requirements and procedures. Communicates changes to staff and management.
- Performs various forms of research, information gathering, problem solving, and interpretation of policies and procedures related to grant and contract proposals. Assists in office efforts to identify funding opportunities.
- Attends and hosts meetings in person and in virtual venues; may act as the facilitator to solve problems.
- Stimulates collaboration and builds relationships in research administration nationally and within our University.
- Assists in data management and reporting metrics to achieve proposal service goals.
- Perform special assignments as requested by the Proposal Services Manager and various duties as needed to successfully fulfill the function of the position.
Job Requirements
Required education: Bachelor's degree, AND:
- 60 months experience in grant proposal submission and/or research administration.
Equivalent/Substitution: Will accept 48 months experience in grant proposal submissions and/or research administration in lieu of a Bachelor's degree for a total of 108 months experience.
Certifications: None
Skills:
- Advanced working knowledge of databases and electronic tools.
- Advanced knowledge of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel)
- Advanced organization skills
- Ability to perform multitasks and handle stressful situations
- Excellent customer service and people skills.
- Self-motivated and capable of multi-tasking under deadline pressure.
- Has extensive knowledge of NIH Guidelines, and proficient knowledge of other funding agencies.
- Superior analytical, organizational, communication and time management skills.
- Expert capabilities with Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) and Adobe Pro.
- Ability to adapt to new situations and online grant applications.
- Resourceful and excellent online search engine ability to look up program guidelines and regulation.
- Inept ability to manage and prioritize multiple conflicting deadlines.
- Capability to telecommute effectively in a team setting.
Working Conditions:
Physical: Must be able to work in sitting position, use computer and answer telephone.
Environmental: Standard Office Work Environment.
Department Preferences: Certified Research Administrator (CRA) or Certified Pre-award Research Administrator (CPRA)
