Management Assistant Officer

Job Description

The Management Assistant Officer (MAO) - Finance and Administration is responsible for providing comprehensive support to the finance and administrative functions of the Hall. This role ensures the efficient execution of financial processes, accurate record-keeping, and the smooth operation of day-to-day administrative tasks. The officer will assist in financial reporting, procurement, asset management, financial aid and general office coordination to support organizational objectives, ensure compliance with policies and procedures, and maintain operation efficiency.

Duties & Responsibilities

  1. Financial advisory and management of student account - MAO is responsible to liaise closely with Manager, Domestic Bursar and JCRC Finance Director on the budget allocation and processing of claims and reimbursement for student committees.
  2. Inventory procurement and management - MAO is responisble to conduct verification and maintenance of all inventory including physical and digital assets.
  3. Financial aid / award / scholarship - support the hall's financial aid processes by processing financial aid applications, handling enquiries, coordinating the call for interviews, offer, disbursment and ensuring smooth administration.
  4. Perform secretarial and general administrative duties for the Hall Office - MAO is responsible to coordinate hall and external meetings, provide administrative support in coordinating hall events and meeting logistics, etc.

Qualifications

  • Polytechnic Diploma holder with at least 2 years of working experience in administrative and corporate support
  • Meticulous and organised, with ability to plan, prioritise and coordinate a portfolio of activities to meet deadlines
  • Strong initiative with passion to provide excellent customer service to students
  • Team player who collaborates and communicates effectively with others, take responsibility for individual tasks and assignments while working to ensure the approach and time are aligned with the Hall and other stakeholders
  • Proficient in Microsoft Word and Excel applications
