Job Summary
Reporting to the Associate Dean of Students, this position runs and generates content for programming and events for new students and families; directly manages budgets for the Dean of Students and Smith Life and Learning and has oversight of the Student Affairs budget overall; supports the work of the Dean of Students and Associate Dean of Students; and supervises the student affairs office staff.
Take appropriate actions to support a diverse workforce and participate in the College's efforts to create a respectful, inclusive, and welcoming work environment.
Essential Functions
Programming Development & Support (30%):
- Develop and improve departmental programs to support the transition of entering students and engage students and families in campus life.
- Conduct regular assessment of programs and services; present findings to department leadership.
- Hire and supervise student staff to plan and support programs. Lead student staff in the recruitment and training of student volunteers.
- Coordinate Student Affairs website edits and updates with appropriate departments.
- Serve as key strategist on matters pertaining to the development and implementation of transitional activities.
Event Management (30%):
- Coordinate with department liaisons, staff, faculty, and instructional staff to organize and promote events showcasing college services and academic programs.
- Act as liaison to Dining Services, Events Management, Facilities Management, and outside vendors to ensure programs are supported with equipment rental, event resources, and site setup.
- Create event schedules, marketing collateral, and website copy and publish through coordination with Communication & Marketing.
- Supervise each event’s execution, responding to emergent issues as they arise.
- Occasionally support meeting logistics for Student Affairs.
Financial Management (30%):
- Manage departmental budgets, process paperwork related to expenditures and income, and provide regular updates about budget status to appropriate department heads.
- Oversee and report on procurement card expenditures for department principals.
- Act as the liaison to the Dean of the College Office & Controller’s Office to ensure financial procedures are followed in alignment with institutional policy.
Office/ People Management (10%):
- Supports the day to day operations of the work of the Dean of Students, Associate Dean of Students and Student Affairs team (e.g., procurements, meeting logistics, calendar management)
- Manages one or more direct reports in regular and/or fixed term role(s)
- Accountable for hiring, development / coaching, and performance-related decisions with support from Human Resources
- Makes informed decisions impacting team and college including setting priorities, allocating resources, and problem-solving
- Effectively communicates expectations, provides feedback, and ensures alignment with department goals
- Addresses conflicts and challenges within the team to promote a positive work environment
- Formulates and implements policies and procedures
- Responsible for the effective functioning of the Student Affairs office.

MINIMUM REQUIRED Qualifications:
Associate's degree and 3-5 years of relevant experience or an equivalent combination of education and/or experience.
Experience working with individuals from diverse backgrounds.
Skills:
- Ability to organize and prioritize work with an eye on the larger scope of the Student Affairs functions.
- Manage multiple tasks/projects simultaneously; take initiative; resolve problems independently using good judgment, and work effectively with others in a collaborative environment.
- Have excellent verbal and written communication skills with demonstrated ability to be discreet and maintain confidentiality.
- Have the ability to communicate with all levels at the college and with outside constituents.
- Handle financial data accurately.
- Coordinate schedules and events efficiently.
- Work with Google Suite, Adobe Suite, Microsoft Suite, and proprietary higher education software effectively.
- Have a strong command of technology and how it can increase efficiency.
- Have a good sense of humor and the ability to manage and work with a variety of personality types and work styles.
- Proven experience working with diverse constituencies.
- A commitment to the core values of the college and the division.
