Position Description
The Marketing Project Coordinator is a collaborative team member who helps ensure marketing projects move forward smoothly. Rather than leading projects, this role focuses on coordination, organization, and communication - supporting teams in delivering high-quality work aligned with Seattle University's mission and brand.

University Marketing, within the division of University Affairs, seeks a highly organized and collaborative Marketing Project Coordinator to support the successful execution of marketing initiatives. This role works closely with designers, web developers, communications specialists, and content creators to help ensure projects move forward efficiently and timelines are maintained.
The Marketing Project Coordinator plays an essential role in supporting project workflow, coordinating communication across teams, and maintaining project tracking systems such as Smartsheet.
Key Responsibilities:
Project Coordination & Support
- Support the planning and execution of marketing projects aligned with university goals.
- Assist with documenting project scopes, timelines, deliverables, and requirements.
- Coordinate project tasks and help ensure deadlines are met.
Workflow & Timeline Management
- Maintain project timelines and task tracking within project management systems.
- Monitor project status and flag potential delays or issues.
- Help ensure projects stay on track through consistent follow-up.
Team Communication
- Facilitate communication between design, web, communications, and content teams.
- Schedule meetings, prepare agendas, and document action items.
- Serve as a central point of contact for project updates and status reporting.
Resource Coordination
- Assist with coordinating resources across projects.
- Track workload and help identify scheduling conflicts or bottlenecks.
- Support prioritization of tasks across multiple initiatives.
Process & System Support
- Maintain project management tools and documentation.
- Help implement workflow improvements and best practices.
- Support exploration and onboarding of new project tools if needed.
Project Reporting
- Assist with gathering project metrics and status updates.
- Support post-project reviews and documentation of lessons learned.
This position may perform other duties and assume additional responsibilities as assigned to support the evolving needs of the department and University Advancement.
Qualifications
- Bachelor's degree in marketing, business, communications, or related field OR
- 2-4 years of administrative, coordination, or project support experience.
- Experience supporting projects in marketing, higher education, or creative environments preferred.
- Familiarity with project management tools (Smartsheet, Asana, Trello, etc.).
- Strong organizational and time-management skills.
- Excellent written and interpersonal communication skills.
- Ability to manage multiple tasks in a fast-paced environment.
- Interest in marketing and higher education is a plus.

Compensation at a Glance
Salary Range: $50,000 - $55,000
Seattle University has provided a compensation range that represents its good faith estimate of what the University may pay for the position at the time of posting. The salary offered to the selected candidate will be determined based on factors such as the qualifications of the selected candidate, departmental budget availability, internal salary equity considerations, and available market information, and not based on a candidate's gender or any other protected status.

Hybrid Eligible
This position may be eligible for a hybrid schedule after successful completion of an introductory work period of 3-6 months. This may mean that a hybrid eligible role will begin on-campus initially and then will transition to hybrid format following onboarding and training. Flexible work plans are subject to periodic review and may be changed or terminated at any time for any reason at the university's discretion.
