General Summary
The Monahans Extension Center Secretary serves as the primary front-line representative for the Monahans Extension Center, providing exceptional customer service to prospective students, current students, and the public. This position functions as the first point of contact and is responsible for welcoming visitors, managing incoming calls, and maintaining efficient workflow in a fast-paced environment. The role requires general knowledge of academic programs and admission requirements, as well as the ability to provide comprehensive administrative support, including handling confidential information and special projects with professionalism and discretion.
Specific Position Duties
- Utilize administrative and customer service skills to support daily office operations.
- Maintain and retrieve information from large record systems with a high level of accuracy.
- Communicate effectively with the public through in-person and telephone interactions.
- Perform responsibilities efficiently in a fast-paced environment while assuming initiative and accountability.
- Operate computer systems and college software platforms to complete assigned tasks.

- Provide professional and courteous customer service through effective in-person and telephone communication.
- Utilize Microsoft Word, Excel, Publisher, and other software programs to prepare documents, maintain records, and support office operations.
- Maintain, organize, and retrieve information from large record systems with accuracy and efficiency.
- Take initiative in completing assignments, assume responsibility for tasks, and perform effectively in a fast-paced environment.
- Ensure accuracy and attention to detail in all work performed.
- Maintain a personable, tactful, and professional demeanor in all interactions.
Minimum Qualifications
- Demonstrated excellent public relations skills, including effective in-person and telephone communication.
- Proficiency in Microsoft Word, Excel, and Publisher, with the ability to quickly learn new software programs and efficiently utilize college systems.
- Exceptional organizational skills with the ability to maintain and retrieve information from large record systems.
- Ability to take initiative, assume responsibility, and perform effectively in a fast-paced environment.
- Dependability and strong attention to detail.
- Ability to remain personable, tactful, and professional at all times.
- High School Diploma or GED.
