Job Description
The Administrative Coordinator I, under general supervision, provides highly advanced administrative support to Student Counseling Services. The position is located in Fort Worth, Texas with work hours: Mon-Thurs; 11 AM-8 PM; Friday 8 AM-5 PM or as work requirements indicate. Occasional evenings/ weekends required. Must be able to work remotely at the request of the University.
Responsibilities:
60% Client Support & Clinical Coordination:
- Serve as the initial point of contact for students seeking counseling services; for faculty and staff seeking consultation regarding students of concern; for requests for outreach services; and for members of the surrounding community – including student family members – seeking information about services.
- · Screen all new clients for possible crisis intervention. Recognize signs of distress and respond calmly and compassionately. Collaborate with counselors to prioritize appointments and provide timely support to students in crisis.
- Manage appointment scheduling, appointment tracking, attendance monitoring, appointment reminders, phone/address updating, and responding to emails and voicemails.
- Manage requests for information (records requests, subpoenas, inquiries from family members, news outlets, etc.) appropriately and expeditiously to maintain compliance with state laws and licensing standards.
- Maintain strictest levels of confidentiality as required by Texas Law and the mental health practitioners’ codes of ethics (LPC, LCSW).
15% Office Management & Outreach Support
- Manage office supplies, maintain inventory, prepare purchase requests when necessary. Assist staff with conference / training registration, travel arrangements, and reimbursements. Oversee the integrity and functioning of front office including opening and closing to receive clients promptly.
- Represent Counseling Services at various outreach opportunities on campus or in the community and/or coordinate with clinical staff.
- Assist in on-boarding student workers, graduate assistants, graduate interns, and / or new staff and training them in front desk procedures and orienting them to the office. Assist the Director/Associate Director to recruit, interview and hire student workers.
10% Data Management:
- Track and report data for internal and external stakeholders.
- Run basic reports in Titanium scheduling system; ProtoCall and Telus Health telehealth databases; other sources as needed for monthly service delivery reports, special projects, and other needs as they arise.
10% Fiscal Account Management:
- Have a working knowledge of TSU policies and procedures related to purchasing.
- Generate financial reports, track expenditures, and reconcile accounts as needed.
- Work with Director/Associate Director to maintain the fiscal management for the department.
5% Other duties as assigned:
- Perform other duties as assigned by the professional staff (final authority/approval of other duties are at the discretion of the Director of Student Counseling Services).
- Education and Experience:
- Bachelor’s degree or equivalent combination of education and experience.
- Two years of related experience which includes administrative support.
- Experience working with sensitive information preferred
- Experience working with people in distress preferred
Knowledge, Skills and Abilities:
- Flexibility and adaptability to respond to changing priorities, unexpected challenges, and evolving needs within Counseling Services and the broader campus community.
- Ability to remain calm and composed under pressure, to seek support and work collaboratively to respond appropriately to students / community members in distress.
- Ability to work with sensitive information and maintain confidentiality.
- Commitment to fostering an inclusive and welcoming environment
- Knowledge of standard office computer software, willingness to learn the Electronic Medical Records / scheduling system.
- Strong verbal and written communication skills; ability to communicate effectively with a variety of stakeholders.
Preferred Qualifications and Experience:
- Experience working in a clinical setting.
- Knowledge of legal and ethical standards related to counseling services and client confidentiality.
- Experience recognizing and/or responding to crises calmly and professionally.
Salary
Commensurate with experience
The target base annual salary is $35,745 and may be negotiable based on funding availability and candidate experience/skillset in relation to the minimum requirements of this position.
