Position Summary
The Office of Study Abroad is seeking a detail-oriented and
dependable Part-Time University Assistant to support the daily
operations of the office. This position provides administrative,
purchasing, travel, and event support while assisting with the
promotion of study abroad and international education programs. The
successful candidate will be organized, collaborative, and able to
manage multiple priorities in a fast-paced office
environment.
Primary Responsibilities
Purchasing & Travel Support
- Assist with purchasing office supplies, program materials, and
event-related items in accordance with university purchasing
procedures.
Support travel arrangements for faculty, staff, and student
programs, including airfare, lodging, transportation, and travel
documentation.
Prepare and organize purchasing and travel-related
paperwork.
Follow university business procedures related to P-Cards,
Purchase Orders (POs), Travel Office requirements, Accounts
Payable, and reimbursement processes.
Administrative Support
Perform general office duties, including filing, data entry,
document preparation, scanning, copying, and maintaining organized
records.
Maintain accurate electronic and paper files.
Support day-to-day office operations as assigned.
Events & Marketing
Assist with planning and coordinating study abroad fairs,
information sessions, orientations, and other office events.
Assist with event setup, registration, and breakdown.
Preferred Qualifications
Previous business, administrative, or office experience,
particularly involving purchasing, budgeting, or travel
coordination.
Experience working in a professional office environment.
Familiarity with Microsoft Office (Word, Excel, Outlook,
PowerPoint).
Desired Knowledge, Skills & Abilities
Ability to understand and follow university fiscal policies and
procedures, including Purchasing Cards (P-Cards), Purchase Orders,
Travel Office requirements, and Accounts Payable processes.
Excellent organizational and time management skills with strong
attention to detail.
Ability to manage multiple tasks simultaneously and prioritize
competing deadlines.
Demonstrated punctuality, reliability, and
professionalism.
Strong interpersonal and communication skills.
Ability to work both independently and collaboratively as part
of a team.
Ability to maintain confidentiality and handle sensitive
information appropriately.
Compensation & Work Schedule
Hourly Wage: $24.00 per hour
The current maximum earnings for a University Assistant are
$24,000 per fiscal year.
University Assistants may work no more than an average of 19
hours per week, for a maximum of 988 hours per fiscal year
(July 1 – June 30).
When operational needs required, a University Assistant may
work up to 40 hours per week with departmental approval.
However, working additional hours will shorten the length of the
appointment, as the employee will reach the annual $24,000
earnings limit more quickly.
This is an in-office position. Work schedules are
flexible within the Office of Study Abroad's regular business hours
(8:30 a.m.–4:30 p.m., Monday through Friday) and will be
determined based on office needs and the employee's availability.
Occasional evening or weekend hours may be required to support
study abroad events and programs.
