Role Introduction/ About the Role:
To provide an administrative service to the Operations Team to facilitate the efficient operation of all work undertaken.
Key Responsibilities:
- Provide an administrative service within the Operations Team. Perform general administrative duties, filing documents electronically, photocopying, and scanning. Diary management, making travel arrangements, respond to enquiries and refer others as appropriate, type confidential correspondence, monitor emails, draft non routine correspondence, take notes at meetings and committees.
- Organise events and meetings e.g. in-person, remote, or hybrid. Advise on meeting venues, book rooms, order refreshments and or catering, send out meeting invites and directions, word process, collate and distribute materials for events, seminars, meetings, assist in the maintenance of publicity materials and resources.
- Assist in monitoring resources e.g. expenditure against budgets. Raise Purchase Orders, process invoices and orders, complete dispensations / advanced payments requests, considering financial regulations and other relevant regulations.
- Act as a communications champion for the Operations Team adding latest items onto the internal intranet. Have sound knowledge of current affairs.
