Overview

The Performance Assurance and Documentation Specialist will be an integral member of the Performance Assurance and Contract Management (PACM) Department. The incumbent will provide expertise and support to analyze, report, and improve performance through a variety of methods at multiple organizational levels and across the PPPL organization with a focus on developing performance metrics and key performance indicators and editing, organizing, and generating content related to institutional performance and process. This position will lead assurance processes associated with governance of the laboratory training program. In addition, this position will facilitate development of high-quality laboratory operations governance documents subject to periodic review and configuration control.

Responsibilities

Core Duties:

  • Performance Metrics & Analytics: Lead partnering efforts with external departments to propose, develop, and refine performance metrics and Key Performance Indicators (KPIs). Utilize tools like Tableau to build visualization dashboards that enable identification and tracking of trends and support data-driven Institutional decision-making by Department Heads and the Executive Management Team.
  • Internal Departmental Coordination: Lead efforts within the PACM team to track and coordinate departmental metrics in areas such as contractor assurance, institutional document control, records management, assessment planning, contract management, process improvement, training program administration and governance, and quality assurance and quality control processes.
  • Performance Reporting & Documentation: Manage the conduct and documentation of crosscutting analysis of institutional performance. Coordinate the development of institutional performance reports for executive leadership and sponsors. Audit data submissions for accuracy, clarity, and completeness, ensuring all reports meet internal requirements and deadlines.
  • Operational Governance: Facilitate the configuration control process for laboratory operations documents. Collaborate with Subject Matter Experts (SMEs) on the development, review, formatting, and editing of documentation to ensure alignment with contractual and regulatory requirements and monitor status to guarantee it remains current. Hands-on involvement with the document management processes will be required.
  • Assessment & Continuous Improvement: Have primary responsibility for implementation and monitoring of training program performance and governance. Plan and conduct Management Self-Assessments and support external assessments of the PPPL training program. Actively manage resulting corrective actions to closure to address identified risks and system issues.
  • Project & Communication Management: Manage project communication tools, shared drives, databases, and document repositories, as necessary. Support the team by drafting and proofreading reports, presentations, and website content.
  • Administrative & Financial Oversight: Monitor deadlines for DOE compliance, track costs associated with assigned projects to ensure they remain within budget, and conduct internal training as required.
  • General Support: Independently perform additional projects and duties within the PACM Department as assigned.

Qualifications

Education and Experience:

  • Bachelor’s degree in a technical field from an accredited institution or significant equivalent training is required. Master’s degree is preferred. In lieu of a Bachelor's degree, 3 years of professional and progressive experience with demonstrated capacity to manage multiple simultaneous projects, implement performance assurance program elements, and write technical documentation, such as policies and procedures, preferably in a scientific, or engineering, environment may be considered for substitution.
  • Experience: 6 to 7+ years of professional experience in performance assurance, quality control, continuous improvement, technical document control, or data analytics, ideally within a regulated technical environment.
  • Data Visualization & Analytics: Demonstrated proficiency using data visualization software (e.g., Tableau) to build dashboards, analyze trends, and track Key Performance Indicators (KPIs).
  • Assessments & Corrective Action: Practical experience supporting internal or external audits, management assessments, and managing corrective actions through to resolution.
  • Compliance & Reporting: Proven track record of auditing data accuracy and synthesizing multi-departmental inputs into executive-level performance reports under rigid deadlines.
  • Communication & Systems: Strong written communication skills for technical reports, presentations, and web content, paired with proficiency in managing document repositories, shared drives, and databases.
  • Must be a U.S. citizen.

Physical Requirements:

  • Work is largely administrative requiring sitting, standing, walking and bending, with or without accommodation.

Working Conditions:

  • Job assignment can usually be accomplished within normal work hours.
  • Evening and weekend work may be required.
  • A hybrid work schedule may be authorized after the initial 180 day probationary period.
