Duties & Responsibilities:
Chief Purpose: The Bilingual PAP Coordinator supports uninsured pregnant patients and their newborns by facilitating timely access to Medicaid coverage and related financial assistance. Working in close collaboration with OB/GYN clinics, Labor & Delivery, the Emergency Department, and community partners, this role identifies eligible patients, guides them through the Medicaid application process, and provides ongoing advocacy and follow-up.
The Coordinator reviews daily EPIC reports to identify uninsured patients, verifies eligibility through Medicaid systems, and assists patients and household members with completing applications through CommonHelpVA. The role ensures applications are accurate and processed efficiently by coordinating with Cover Virginia, local Departments of Social Services, and internal VCUHS teams, including managing spenddown cases, appeals, and newborn enrollment.
In addition, the PAP Coordinator serves as a bilingual Spanish/English liaison and interpreter, helping resolve coverage and billing issues, correcting demographic errors in EPIC, and supporting accurate medical record documentation. The role also connects patients to essential community and social service resources and provides advocacy during complex situations such as financial hardship, benefit applications, and access to supportive services. Referrals to OB/GYN social work are made as needed to ensure comprehensive patient support.
Qualifications:
Minimum Qualifications
- Excellent communication skills
- Proficiency in Spanish and English oral and written communication
- Organizational skills
- Ability to set goals, juggle priorities, manage time and meet deadlines
- Must be flexible and available to communicate with patients after hours on an as-needed basis
- Maintain confidentiality of patient information
- Self-motivated, able to work independently and as part of a team
- Exercise judgment in work settings and assures appropriate action is taken to assist patients, VCU/VCUHS staff and community partners
- Experience with patient interviewing and basic medical terminology
- Must have valid driver’s license
- High school graduate or equivalent
- Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.
Preferred Qualifications
- Minimum of five years of experience and knowledge of the Virginia Medicaid program and policy to determine correct eligibility.
- Experience dealing with local Departments of Social Services, Cover Virginia and the Department of Medical Assistance Services (DMAS) and knowledge of their processes.
Salary Range: $50,000-$60,000, commensurate with experience
