About UNSW IT and the role:
A Project Officer plays a key role within Information Technology in providing practical and efficient project support for project teams and key stakeholders. The role entails providing project coordination and support, reporting and analytical support, developing communications, building key internal and external relationships, and providing administrative support for key programs and projects.
The role reports to the AI Program Lead and the Innovation Program Lead supporting Director, Innovation Enablement and is integral to advancing the organization’s AI and Innovation Programs, making it an exciting opportunity to be at the forefront of technological advancements and innovative solutions.
Specific accountabilities for this role include:
- Support the delivery of Faculty/Division ideas, projects and initiatives to achieve operational and strategic goals for enablement of Innovation and AI across UNSW.
- Support the development of plans and schedules and participate in planning processes as required.
- Monitor, track and report on the status of deliverables to ensure time, cost and quality metrics are in line with approved plans for assigned projects.
- Provide practical and proactive project support and administrative services to team and stakeholders.
- Assess, monitor and communicate project risks and issues and provide solutions where applicable.
- Coordinate project administration including coordination of workshops and meetings, minute taking, manage assigned actions and follow-ups and project status reporting.
- Develop and manage effective communications with key stakeholders, both internal and external to the project.
- Support adherence to UNSW governance pathways to ensure initiatives and projects are managed within a defined, consistent and proven set of rules for project development.
- Coordinate and create materials for Steering Groups and the AI Ecosystem Groups.
- Conduct research on both AI and Innovation to support the Program development, highlighting opportunities for expansion.
- Facilitate the momentum of innovation and AI ideas through the pipeline so that initiatives can progress from idea to proof of concept through to product ionization as appropriate.
- Align with and actively demonstrate the Code of Conduct and Values
- Cooperate with all health & safety policies and procedures of the university and take all reasonable care to ensure that your actions or omissions do not impact on the psychosocial or physical health and safety of yourself or others.
- Actively participate in program initiatives; to be able to role model and champion concepts and technology the programs are piloting and experimenting with.
- Conduct analysis on research material and feedback received from surveys, pulse checks, analytics and workshops, and collate in appropriate ways for presenting to internal project team or stakeholders. This may include metrics, PowerPoint presentations, learning or other communications collateral.
- Develop and maintain strong working relationships with key program stakeholders to be able to provide support program objectives.
- Provide recommendations for synergies within the programs to facilitate continuous improvement of our ways of working.
Skills and Experience:
- Relevant tertiary qualification with subsequent relevant experience or equivalent competence gained through any combination of education, training and experience.
- Excellent written and verbal communication skills, with a high level of attention to detail for deliverables produced.
- Sound stakeholder management and interpersonal skills, with the ability to liaise effectively with a range of stakeholders.
- Experience working with a range of computer systems and applications, including MS 365, especially Teams and SharePoint.
- Excellent time management skills, with a demonstrated ability to respond to changing priorities, manage multiple tasks and meet competing deadlines by using judgement and initiative.
- Project experience, with an understanding of the project life cycle and development of project plans, objectives and documentation.
- Working knowledge of the principles, techniques and tools used in innovative and agile ways of working.
- Demonstrated ability to work collaboratively and productively within a team, but also to take initiative and work independently while managing competing demands.
- An understanding of and commitment to UNSW’s aims, objectives and values in action, together with relevant policies and guidelines.
- Knowledge of health & safety (psychosocial and physical) responsibilities and commitment to attending relevant health and safety training.
